Job Description
NEXGEN AssetManagement is seeking a versatile, highly organized, and proactiveAdministrative Manager to oversee key operational functions and directlysupport our President and CEO.
In this role, youwill act as a pivotal link across recruitment, human resources, payrolloperations, risk and compliance administration, and executive support. Theideal candidate thrives in a dynamic environment, possesses strongcommunication skills, and seamlessly manages competing priorities across talentacquisition, business development, project delivery, and internal officeadministration.
This full-time roleis based in our Sacramento, CA office.
Key Responsibilities:
- Job Posting & Sourcing: Collaborate withteam leads and executives to draft, refine, and post compelling jobdescriptions across relevant job boards and hiring channels.
- Candidate Screening & Interviews: Serve as theprimary hiring manager contact to review applications, screen incomingcandidates, and conduct initial screening interviews.
- Interview Coordination: Schedule andcoordinate second-round and final interviews between qualified candidates andthe internal hiring team/executives.
2.Human Resources & Payroll Administration
- Payroll Management: Process regular employee payrollaccurately and on schedule, manage time tracking, resolve payroll inquiries,and maintain payroll records.
- Onboarding & Offboarding: Lead theend-to-end onboarding experience for new hires, including payroll and taxsetup, documentation, orientation, and system integration.
- Benefits Management: Oversee employee benefitsadministration (open enrollment, plan updates, payroll deductions, brokercoordination, and employee inquiries).
- HR Support: Serve as the primary point of contact foremployee administrative questions, personnel record updates, and generalinternal policy guidance.
3.Compliance & Insurance Operations
- Certificates of Insurance (COIs): Request, track,process, and issue COIs for new and existing clients to ensure activecontractual compliance.
- Compliance Tracking: Assist in maintaining vendor,client, payroll tax, and corporate compliance logs and records.
4.Executive Support & Core Operations
- Presidential Support: Provide administrative backing tothe President & CEO across business development, contracting, and projectdelivery initiatives.
- Contracting & Proposals: Help assemble,track, and archive client contracts, agreements, and business developmentmaterials.
- Project Delivery Support: Coordinatelogistics, documentation, and reporting to ensure smooth execution of clientprojects.
- General Office Management: Maintain smoothdaily operations for the Sacramento office.
Requirements
- Education: Bachelor’sdegree in business administration, Communications, HR or related field.
- Experience: 7+ years of administrative, officemanagement, or executive support experience (direct experience with full-cyclerecruiting coordination, payroll, HR, or compliance strongly preferred).
- Technical Skills: Proficiency with Applicant TrackingSystems (ATS), payroll platforms, modern office productivity suites (e.g.,Microsoft Office 365, Google Workspace), and electronic document managementtools.
- Communication: Exceptional verbal and writtencommunication skills with high precision, professional presentation, and strongattention to detail.
- Discretion & Judgment: High degree ofprofessionalism, confidentiality, and reliability when handling candidate data,sensitive payroll, HR, and executive matters.
- Adaptability: Ability to prioritize effectively and workindependently in a hybrid environment.
