Job summary

NEXGEN AssetManagement is seeking a highly organized Administrative Manager to oversee core operations and directly support our President and CEO in Sacramento, CA. You will coordinate recruitment, payroll, HR, risk/compliance, and executive support in a fast-paced hybrid environment.

The role requires 7+ years of relevant experience, strong communication and discretion, and the ability to manage multiple priorities across talent acquisition, business development, and project delivery.

Qualifications

  • Bachelor’s degree in business administration, communications, HR or related field.
  • 7+ years of administrative, office management, or executive support experience (direct experience with full-cycle recruiting coordination, payroll, HR, or compliance strongly preferred).
  • Proficiency with Applicant Tracking Systems (ATS), payroll platforms, modern office productivity suites, and electronic document management tools.
  • Exceptional verbal and written communication skills with high precision, professional presentation, and strong attention to detail.
  • High degree of professionalism, confidentiality, and reliability when handling candidate data, sensitive payroll, HR, and executive matters.
  • Ability to prioritize effectively and work independently in a hybrid environment.

Responsibilities

  • Job Posting & Sourcing: Collaborate with team leads and executives to draft, refine, and post compelling job descriptions across relevant job boards and hiring channels.
  • Candidate Screening & Interviews: Serve as the primary hiring manager contact to review applications, screen incoming candidates, and conduct initial screening interviews.
  • Interview Coordination: Schedule and coordinate second-round and final interviews between qualified candidates and the internal hiring team/executives.
  • Payroll Management: Process regular employee payroll accurately and on schedule, manage time tracking, resolve payroll inquiries, and maintain payroll records.
  • Onboarding & Offboarding: Lead the end-to-end onboarding experience for new hires, including payroll and tax setup, documentation, orientation, and system integration.
  • Benefits Management: Oversee employee benefits administration (open enrollment, plan updates, payroll deductions, broker coordination, and employee inquiries).
  • HR Support: Serve as the primary point of contact for employee administrative questions, personnel record updates, and general internal policy guidance.
  • Certificates of Insurance (COIs): Request, track, process, and issue COIs for new and existing clients to ensure active contractual compliance.
  • Compliance Tracking: Assist in maintaining vendor, client, payroll tax, and corporate compliance logs and records.
  • Presidential Support: Provide administrative backing to the President & CEO across business development, contracting, and project delivery initiatives.
  • Contracting & Proposals: Help assemble, track, and archive client contracts, agreements, and business development materials.
  • Project Delivery Support: Coordinate logistics, documentation, and reporting to ensure smooth execution of client projects.

Key Responsibilities:
