Position Overview: The Administrative Enrollment Specialist facilitates student enrollment, assists the School Director with daily office operations, and performs essential responsibilities including:

  1. Ensuring compliance with federal and state laws, accreditation standards, and institutional policies related to student enrollment.
  2. Handling inbound inquiries and making outbound calls and emails to prospective students, scheduling appointments.
  3. Assessing and interviewing prospective students to understand their needs and goals.
  4. Evaluating eligibility for employment in the transportation industry, including reviewing driving records and ability to pass DOT physical and drug screens.
  5. Developing referrals and personal leads.
  6. Conducting campus tours, communicating features and benefits, and aiding students in making informed enrollment decisions.
  7. Discussing payment options such as third-party financing, in-house financing, funding from workforce services or state agencies, grants, vocational rehabilitation, veteran’s benefits, or private pay.
  8. Following up with inquiries that do not schedule or attend interviews.
  9. Enrolling eligible students, completing enrollment forms, and ensuring all paperwork is finalized.
  10. Developing follow-up plans to confirm enrollment and start dates, and meeting or exceeding enrollment goals.
  11. Preparing student files for the first day of class, providing employer and placement information, and updating student transcripts and graduation certificates.
  12. Managing accounts receivable/payable tasks, including invoicing, processing payments, reporting attendance and earnings, and assisting with account reconciliation.

Qualifications:

  • High School Diploma or GED required.
  • Prior post-secondary education experience preferred.
  • Proficiency in Microsoft Office Suite: Word, Excel, Outlook.
  • Knowledge of office equipment.
  • Excellent communication, interpersonal skills, problem-solving, and conflict resolution skills.
