Position Overview: The Administrative Enrollment Specialist facilitates student enrollment, assists the School Director with daily office operations, and performs essential responsibilities including:
- Ensuring compliance with federal and state laws, accreditation standards, and institutional policies related to student enrollment.
- Handling inbound inquiries and making outbound calls and emails to prospective students, scheduling appointments.
- Assessing and interviewing prospective students to understand their needs and goals.
- Evaluating eligibility for employment in the transportation industry, including reviewing driving records and ability to pass DOT physical and drug screens.
- Developing referrals and personal leads.
- Conducting campus tours, communicating features and benefits, and aiding students in making informed enrollment decisions.
- Discussing payment options such as third-party financing, in-house financing, funding from workforce services or state agencies, grants, vocational rehabilitation, veteran’s benefits, or private pay.
- Following up with inquiries that do not schedule or attend interviews.
- Enrolling eligible students, completing enrollment forms, and ensuring all paperwork is finalized.
- Developing follow-up plans to confirm enrollment and start dates, and meeting or exceeding enrollment goals.
- Preparing student files for the first day of class, providing employer and placement information, and updating student transcripts and graduation certificates.
- Managing accounts receivable/payable tasks, including invoicing, processing payments, reporting attendance and earnings, and assisting with account reconciliation.
Qualifications:
- High School Diploma or GED required.
- Prior post-secondary education experience preferred.
- Proficiency in Microsoft Office Suite: Word, Excel, Outlook.
- Knowledge of office equipment.
- Excellent communication, interpersonal skills, problem-solving, and conflict resolution skills.
