Job summary

Crossnore Communities for Children is seeking an Administrative Coordinator in Hendersonville, NC. The role focuses on front-office operations, calendar management, and directory maintenance to support CTRC and the Hendersonville office.

Responsibilities

  • Provide administrative support to the Hendersonville office and CTRC team, including scheduling meetings, preparing correspondence, coordinating travel, and supporting day-to-day office operations.
  • Serve as a primary point of contact for visitors, callers, external stakeholders, and vendors.
  • Greet and assist guests professionally and graciously and answer, screen, and route incoming calls.
  • Help ensure appropriate coverage of reception responsibilities.
  • Maintain a professional, welcoming, organized, and well-stocked reception and office environment.
  • Manage calendars, records, files, reports, and other administrative documentation.
  • Coordinate meetings, including preparing agendas, sending reminders, reserving space, arranging catering and supplies, and coordinating technology or equipment.
  • Attend meetings as needed, take accurate minutes, and distribute meeting documentation in a timely manner.

Location /Schedule:Hendersonville , North Carolina; Typical hours are first shift Monday through Friday with some occasional evening hours depending upon program needs. This is an onsite position, and work is primarily performed in an office environment. Driving/travel and working outdoor events required.

Education/Experience/Licensure:

Key Responsibilities:

As the Administrative Coordinator, you will:

  • Provide administrative support to the Hendersonville office and CTRC team, including scheduling meetings, preparing correspondence, coordinating travel, and supporting day-to-day office operations.
  • Serve as a primary point of contact for visitors, callers, external stakeholders, and vendors.

  • Maintain a professional, welcoming, organized, and well-stocked reception and office environment.
  • Manage calendars, records, files, reports, and other administrative documentation.
  • Compile and process information such as invoices, work orders, timesheets, reports, and other requests accurately and on time.
  • Coordinate meetings, including preparing agendas, sending reminders, reserving space, arranging catering and supplies, and coordinating technology or equipment.
  • Attend meetings as needed, take accurate minutes, and distribute meeting documentation in a timely manner.
  • Maintain confidentiality of information related to children, families, employees, community partners, clients, and the organization.
  • Collaborate with other Administrative Coordinators, CTRC staff, and organizational leaders to solve problems and support team needs.
  • Project, Training & Event Coordination

The Administrative Coordinatorwill also:

  • Support the planning, coordination, implementation, and monitoring of CTRC projects throughout Western North Carolina.
  • Coordinate logistics for trainings, conferences, meetings, community events, and special projects.
  • Manage details such as scheduling, registration, venues, catering, speakers, materials, equipment, and participant communication.
  • Assist CTRC staff and partners with defining project activities, timelines, deliverables, and logistical needs.
  • Maintain project plans and documentation and track progress against established timelines.
  • Coordinate schedules, meetings, resources, and communications needed for successful project implementation.
  • Keep project documents and materials organized, current, and accessible to appropriate staff and clients.
  • Monitor project timelines and budget information and promptly communicate potential delays, concerns, or barriers.
  • Anticipate needs, identify challenges, and help develop practical solutions to keep projects moving forward.
  • Communicate project updates clear
  • Participate in CTRC and Crossnore team meetings, supervision, and professional development.
  • Travel throughout Western North Carolina as needed to support projects, trainings, meetings, and events.
  • Perform other related duties within the scope of the position
Hiring Range : $44,000 - $50,000/year - Compensation is based on experience and qualifications. Candidates who meet only the minimum requirements can expect to start at the beginning of the range, while those with additional and relevant experience and/or advanced skills may be considered for higher starting pay within the range.
