Job summary

TIC Power Construction seeks an Administrative Coordinator to support our growing needs at the TIC Power project site in Boston, VA. Responsibilities include office management, payroll processing, AP/AR tasks, document control, and front-desk support for visitors and calls.

Qualifications

  • At least 2 years of administrative support experience required.
  • Bachelor's or associate degree related to the role strongly preferred.
  • Strong written and verbal communication skills.
  • Strong expertise in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Solid skills with peripheral technology such as printers, digital cameras, scanners and A/V equipment.
  • Past track record of meeting deadlines and project expectations.
  • Ability to work with people at all levels, including senior leadership.
  • Outstanding attention to detail and strong organizational skills.
  • Ability to maintain strict confidence of sensitive information.

Responsibilities

  • Provide day-to-day administration support and team coordination.
  • Coordinate meetings, travel support, and team-building activities.
  • Support branding, marketing materials, and events design tasks.
  • Assist with external and internal communications, writing and editing.
  • Manage expense reports, invoicing, and purchasing card transactions.
  • Track budgets and prepare related reports for teams.
  • Schedule inter-group and cross-company meetings with department staff.

Position Overview

We are currently looking for a proactive Administrative Coordinator to support our growing demands at TIC Power Construction. This role is located in Boston, VA.Office administration support duties may include: maintaining office systems, supplies, payroll processing, accounts payable, document management, owner billings/account receivables, office clerical/support services, printing, mail distribution, messenger services, expense reporting, greeting visitors, answering phones along with other assigned tasks.

District Overview

TIC Power (TICP) provides direct-hire construction services for Power Generation utilizing a non-union craft force. TIC Power builds major EPC power plant projects throughout North America.

Location

This position is located at our Power project in Boston, VA.

Responsibilities
  • Providing day-to-day support with general administrative functions and team management needs (e.g., meeting coordination, travel support, team-building efforts, phone and email communication)
  • Collaborating with and supporting team members, working on key projects and initiatives
  • Providing basic design support for key company branding and marketing materials and events; helping organize and support key online media and video projects
  • Helping the team with messaging, writing, editing, researching and related support for external and internal communications, as needed
  • Managing key expense reports, invoicing and purchasing card transactions
  • Tracking budgets and preparing related reports for team and company use
  • Managing and scheduling inter-group and cross-company meetings involving department staff
