Job description

Job Summary:

Assists with information maintenance and distribution by drafting presentations, detailed correspondence, and reports. Maintains workflow by assisting in the resolution of routine and non-routine requests and issues from department managers on an ad-hoc basis. Assists with event coordination by scheduling meetings for directors and their teams, with limited guidance. Supports event execution by arranging small-scale events, with minimal guidance. Begins to apply data maintenance and management by leveraging knowledge of department data and documentation retention policies.

Essential Responsibilities:

  1. Builds effective peer relationships within and across teams to share resources and information. Listens to, addresses, and seeks feedback; acts as an informal resource for less experienced team members. Actively seeks new knowledge and skills based on personal strengths and weaknesses. Reviews others' work to assist learning. Adapts to change, challenges, and feedback with minimal guidance; demonstrates flexibility. Responds to others' needs to support work completion.
  2. Follows instructions to complete routine and non-routine work with limited supervision. Collaborates to recommend solutions, escalates complex issues, and communicates progress. Supports priorities and deadlines. Identifies improvement opportunities within the team.
  3. Assists with information dissemination by drafting presentations, reports, graphics, and other deliverables based on a working knowledge of business practices, with minimal direction. Writes detailed correspondence with appropriate judgment and discretion. Maintains department files and uses software and databases to retrieve information, supporting report writing.
  4. Maintains workflow by resolving requests and issues from managers, identifying problems, and operating standard office equipment. Manages inventory, handles incoming communications, inputs time cards, and supports onboarding activities as needed.
  5. Supports event coordination by scheduling meetings, supporting meeting facilitation, booking rooms, and managing logistics such as equipment and catering, with minimal supervision. Finds and books appropriate meeting spaces and suggests optimal options.
  6. Supports event execution by arranging small-scale events, planning travel, assisting with meetings and conferences, providing on-site coordination, and distributing agendas and minutes.
  7. Begins to apply human resources data management by leveraging knowledge of data policies, maintaining data integrity, and performing basic analyses and formatting reports, with some guidance.

Minimum Qualifications:

  • At least one (1) year of experience in Communications, Business, Healthcare, or a related field.
  • High School Diploma or GED, or equivalent, plus at least two (2) years of experience in a corporate or business office environment, OR three (3) years of similar experience.
