Job summary

Primary Purpose

Performs a wide range of activities involving the coordination and overall support of the academic and clinical functions of the Anesthesiologist Assistant program.

Essential Job Functions
  • Coordinates activities and functions within the department to ensure efficient operations.
  • Responds to inquiries and resolves non‑routine problems with a broad understanding of policies and procedures.
  • Reviews data and follows up on discrepancies to ensure accuracy.
  • Enters data and generates reports from systems such as Ariba, Banner, Paytrax and other NSU specific systems.
  • Assists in periodic updating of program materials and coordinates room and scheduling assignments, including online courses.
  • Maintains department files and databases in accordance with accreditation guidelines.
  • Assists in assigning students to clinical rotation sites and coordinates housing arrangements for rural rotations.
  • Acts as initial contact and program liaison for academic matters and communicates with stakeholders.
  • Participates and coordinates program events including retreats, receptions, end‑of‑rotations, and institutes.
  • Responsible for maintenance of student records such as grade recording, reporting, evaluations, attendance and health records.
  • Travels to Student Education Centers, conferences, and career fairs as needed for training and marketing.
  • Collects and maintains course information, processes course maintenance forms, creates course reference numbers, manages proctoring of exams and orders textbooks.
  • Oversees requisition, receipt, and inventory of equipment and supplies.
  • Performs other duties as assigned.

  • Knowledge of office practices and procedures (filing, answering telephones, ordering supplies).
  • Ability to enter and verify information accurately.
  • Ability to understand and follow oral and written instructions.
  • Ability to maintain confidential information.
  • Strong administrative skills, organized, thorough, systems oriented.
  • Proactive, punctual and reliable.
  • Excellent written and oral communication skills.
  • Effective communication with others and ability to work cooperatively with colleagues at all levels.
Physical Requirements & Working Conditions
  • May be exposed to short, intermittent, or prolonged periods of sitting or standing.
  • May be required to use equipment/supplies such as pens, pencils and computer keyboards.
Required Education

High school diploma or equivalent.

Required Experience

Either: High school diploma or equivalent with at least three (3) years of administrative experience in academics, healthcare, business, or related areas; or an associate’s degree with at least two (2) years of administrative experience in those areas.

Preferred Qualifications
  • Knowledge of NSU and the College of Health Care Sciences.
  • Familiarity with Ariba, Banner, Kronos, Paytrax, and other NSU systems.
