Description

The Administrative Coordinator is responsible for administrative and office service activities such as purchasing, payroll, records control, and human resources for the head of a department, care center, or division. This individual is expected to oversee 1-2 administrative direct reports and typically reports to a division head, vice president, or higher-level executive.

Responsibilities

  1. Answer routine and specific inquiries when possible. Direct inquiries, when necessary, to the appropriate department or individual for further information and/or resolution.
  2. Assist in maintaining and monitoring the budget and grant allocations. Prepare documents required to maintain balanced accounts for review and approval.
  3. Initiate and follow through on human resources and payroll transactions. Generate weekly payroll submissions. Maintain liaison with human resources and payroll to coordinate and resolve issues and problems.
  4. Ensure adequate restock of supplies for the department. Take inventory or examine merchandise to identify items to be reordered or replenished. Requisition merchandise from suppliers and collaborate with Purchasing to secure the best pricing for equipment and supplies. Track expiration of vendors' contracts and renew as needed.
  5. Assist in planning and logistical arrangements for forums, conferences, seminars, meetings, and/or visiting professorships. Assist in developing and coordinating informational packets for participants. Transcribe and distribute minutes.
  6. Develop, update, and/or revise informational flyers, brochures, leaflets, and mailings.
  7. Research, locate, and compile information for reports. Assemble and categorize figures for computation and calculations. Prepare statistical reports.
  8. Check materials submitted for supervisors' attention to ensure all relevant data, authorizations, and pertinent information are included.
  9. Assist supervisor with the completion of grant applications, special projects, and JCAHO and other survey preparations.
  10. Mentor, train, and/or conduct orientation for new office support staff as needed.
  11. May assist in coordinating administrative, secretarial, and/or general office support coverage.
  12. Perform other related duties.

Qualifications

  1. Associates Degree in business or related field
  2. At least 3 years of related administrative or business experience required. Some supervisory experience preferred.

Compensation

The salary range for this role is $64,526.72 - $74,250 annually. Actual salaries depend on experience, education, and operational needs. This range does not include bonuses, incentives, differential pay, or other benefits.
