Job summary

Integreon is seeking an Administrative Coordinator to serve as the central point for incoming admin requests, routing them to the right resources and ensuring timely, quality outcomes. You will manage calendars, coordinate billing support, and assist with light document editing while maintaining strong client communication and adherence to procedures.

The role requires 3+ years of admin or workflow coordination experience, Associate degree or equivalent, and advanced Microsoft Office skills.

Qualifications

  • 3+ years of administrative or workflow coordination experience in a professional services or corporate setting.
  • Proficiency with Microsoft Office Suite and standard business software.
  • Ability to assess, prioritize, and route requests while ensuring timely completion and quality.

Responsibilities

  • Monitor shared inboxes and workflow systems to receive, assess, classify, and prioritize requests.
  • Evaluate requests by complexity, urgency, and required expertise using routing criteria.
  • Assign work to resources and track progress through to completion.
  • Manage workload pipelines to meet deadlines and service levels.
  • Escalate issues per established procedures and maintain accurate status reporting.
  • Prepare and maintain documentation of workflow activity and project status.
  • Communicate project status and timelines clearly to clients and stakeholders.
  • Provide or coordinate support for expense reports, time entry, and light editing.
  • Support calendar management, meeting scheduling, and client events as needed.

Job description

The Administrative Coordinator serves as the central point of contact for incoming administrative support requests. This role is responsible for assessing, prioritizing, and routing requests to the appropriate resources/department while ensuring timely completion, service quality, and adherence to established procedures. The Administrative Coordinator acts as the operational hub for coordinating business support services and maintaining efficient workflow management across multiple task categories.

Responsibilities and Duties:
  • Monitor shared inboxes and workflow management systems to receive, assess, classify, and prioritize incoming requests.
  • Evaluate requests based on complexity, urgency, required expertise, and established routing criteria.
  • Assign work to appropriate resources and monitor progress through completion.
  • Manage workload pipelines to ensure deadlines and service levels are consistently met.
  • Escalate requests when necessary, following established escalation procedures.
  • Ensure requests are completed accurately, on time, and in accordance with established standard operating procedures and quality standards.
  • Maintain accurate tracking, reporting, and documentation of workflow activity and project status.
  • Respond to customer inquiries with professional, concise communication regarding project status, timelines, and resolution.
  • Provide or coordinate support for:
  • Expense report processing and submission
  • Time entry assistance
  • Light document editing, including formatting and minor revisions
  • Calendar management and meeting scheduling requests
  • Business Development support, including:
  • Pitch and proposal support
  • Internal and client event support
  • Client contact tracking
  • Audit-related administrative support
Required Skills/Abilities
  • Excellent written and verbal communication skills, with the ability to interact professionally and effectively with clients, associates, and stakeholders.
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Visio.
  • Ability to quickly learn and adapt to new software applications, workflow tools, and business processes.
  • Strong organizational, record-keeping, and multitasking skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Detail-oriented and process-driven, with the ability to follow established procedures and maintain a high degree of accuracy.
  • Self-motivated professional who demonstrates initiative, sound judgment, flexibility, and the ability to work independently with minimal supervision.
  • Strong problem-solving skills and a commitment to delivering exceptional customer service and building positive client relationships.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
Education and Experience:
  • 3+ years of administrative, legal assistant, workflow coordination, or business support experience, preferably in a legal, professional services, or corporate environment.
  • Associate degree or equivalent combination of education and experience.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
