This role supports the development and operations of New Glenn, a single-configuration, heavy-lift orbital launch vehicle capable of routinely carrying people and payloads to low-Earth orbit, geostationary transfer orbit, cislunar, and beyond. Its first stage is fully reusable, and the vehicle was designed from the beginning to be human-capable.

As part of a unique and highly skilled team, you'll participate in the development of space launch vehicles as an Administative Coordinator. This role focuses on meeting logistics, conference room readiness, catering coordination, and general operational support that enables teams to work efficiently. This role servs as the operational backbone for meetings and workplace coordination. We are seeking a proactive, service-oriented individual with excellent communication, administrative and customer service skills that can thrive in a fast-paced environment, while embracing teamwork. This role requires strong attention to detail, organizational skills, and the ability to work across teams and communicate effectively. You will primarily be responsible for performing a wide variety of administrative/meeting support functions at our various office locations, which requires 10% travel to support supporting a growing workforce of engineers, technicians, and other professionals. This position will directly impact the history of space exploration and will require your dedicated commitment and detailed attention towards safe and repeatable spaceflight.

Responsibilities include but are not limited to:
  • Prepare conference rooms and meeting spaces according to meeting requirements and room layouts
  • Arrange and re-position tables, chairs, podiums, whiteboards, easels and other meeting furniture
  • Set up meeting materials and supplies
  • Coordinate catering delivery, set up, beverage station, restock items as needed
  • Ensure meeting spaces remain clean, organized, and presentation-ready throughout the day
  • Reset conference rooms to standard configuration after each meeting
  • Assist with room turnovers between consecutive meetings, often under tight timelines
  • Coordinate with Facilities, Security, Janitorial, and IT teams to ensure all teams are aware of meeting needs and able to support where needed
  • Support internal team events, offsites, monthly meetings and all-hands gatherings through physical setup and logistical execution
  • Manage storage and organization of team supplies, event materials, and reusable supplies
  • Move carts, lift boxes, move furniture and equipment as needed to support meeting and event operations.
  • Respond quickly to last-minute meeting requests and changing priorities with a customer service mindset
  • Knowledge, skills, and ability with visitor management & security protocols for reception. Manage and verify all visitors while adhering to company and safety protocols.
  • Greets and manages customers, visitors, and contractors.
  • Receives and directs internal calls/messages to appropriate personnel.
  • Adheres and enforces security procedures for guests, suppliers, and contractors.
  • Maintains professional appearance, demeanor, and working/meeting area.
  • Assists preparing meeting and conference rooms as needed.
  • Provides support to administrative team and other duties as the mission requires.
  • Performs general clerical duties that are subject to change daily.
  • Provides stock for office centers around campus.
  • Assists with catering preparation and delivery.
  • Assists with badging responsibilities.
  • Receives invoices and scans to appropriate email.
  • May be required to lift materials up to 20 pounds.
  • Provides continuous support for company events.
  • Understands/acknowledges and adheres to Administrative Operation Directives.
Minimum Qualifications
  • Prior experience in workplace operations, facilities support, hospitality, conference events administrative, reception, customer service experience
  • Ability to lift, move, and arrange furniture, meeting equipment, and supplies (up to 40 lbs)
  • Comfortable spending the majority of the day walking, standing, setting up rooms, and supporting operational needs
  • Ability to maintain confidentiality and professionalism in executive and customer facing environments
  • Intermediate Microsoft Office experience
  • Reliable, punctual, and adaptable in a fast-paced environment
  • Desire to be proactive and create a positive experience for others
  • Ability to work a minimum 40-hour week, overtime may be needed as mission requires
  • Valid Driver’s License
  • Must be a U.S. citizen or national, U.S. permanent resident (valid Green Card Holder), or lawfully admitted into the U.S. as a refugee or granted asylum.

Preferred Qualifications
