Responsibilities

  • Support the VP of Operations in daily and weekly tasks.
  • Assist the President in administrative capacities.
  • Support accounting functions, including accounts payable and receivable, and financial monitoring.
  • Schedule and coordinate Board communications on behalf of senior leaders.
  • Coordinate hiring processes including postings, applicant tracking, interview scheduling, and candidate communications.
  • Schedule training and onboarding for new hires and board members with leadership.
  • Coordinate and schedule staff and board meetings with the VP and/or President.
  • Handle office operations; ordering supplies, printing, copying, organizing, and liaison with building manager.
  • Perform other duties as assigned.

Job description

Reporting to and at the direction of the Vice President of Operations, the Administrative Coordinator will be instrumental in supporting Communities In Schools of Virginia’s (CIS-VA) growing team and providing aid to the VP of Operations and the President. This role will be focused on executing administrative tasks, scheduling, creative problem solving, and assisting the Vice President of Operations in various capacities, though the Administrative Coordinator will also work closely with the President. This position is well suited for someone interested in working in a small office at a growing nonprofit with a passion for supporting students across the state of Virginia.

Key Responsibilities:

ESSENTIAL FUNCTIONS
The Administrative Coordinator is responsible for:

  • Supporting the VP of Operations in daily and weekly tasks.
  • Aiding CIS-VA’s President in various administrative capacities.
  • Working with the Vice President of Operations to ensure the accounting function, including accounts payable and receivable, follows leading practices and generally accepted accounting principles; establishing systems to ensure the analysis and monitoring of financial activity.
  • Scheduling, coordinating, corresponding with the Board of Directors on behalf of senior leaders.
  • Assisting the Vice President of Operations in coordinating the hiring processes including job postings, applicant tracking, interview scheduling, and candidate communications.
  • Schedule and coordinate training and onboarding for new hires and new board members in collaboration with leadership.
  • Coordinating and scheduling staff and board meetings, in coordination with the VP of Operations and/or the President.
  • Handling office operations; ordering supplies, printing, copying, organizing, contacting building manager, etc.
  • Other duties as assigned.

$50,000 – $65,000 / year

The salary for this position is $50,000 - $65,000. Comprehensive package including medical, dental, and vision health insurance, a retirement plan with company matching, paid time off, and professional development.
