A leading company in the nonprofit sector is seeking an Administrative Coordinator to support the Early Head Start Program. The role involves completing various administrative tasks, scheduling trainings, and ensuring compliance with federal standards. Candidates should possess an Associate's degree and strong administrative skills. This is a full-time position with responsibilities centered around office management and program coordination.
*** The hours for this position are M- F, 8:30 a.m.- 4:30 p.m., Pay Range $29-$32***

Summary/Primary Purpose: Provide administrative assistance to the Early Head Start Program
Director. Coordinate daily office functions and procedures of the Early Head Start Program to support
compliance with Federal Head Start Performance Standards and organizational policies and procedures.
Essential Duties and Responsibilities:
1. Complete administrative duties as assigned by the Program Director.
2. Coordinate daily office functions and procedures to support compliance with Federal Head Start
Performance Standards and organizational policies and procedures.
3. Assist with screening, hiring and onboarding of new staff.
4. Schedule, monitor and track mandatory staff trainings and professional development.
5. Assist Program Director with ongoing monitoring of program goals and objectives.
6. Conduct inventory and procurement procedures and purchase necessary program items and
supplies within approved budget categories from approved vendors.
7. Organize program invoices and receipts and assist with minor accounting duties.
8. Organize and schedule program meetings, reserve rooms, send invitations and order catering.
9. Assist with monthly program meetings and record meeting minutes.
10. Assist with researching for the annual Community Assessment.
11. Develop and distribute the monthly Early Head Start Calendar.
12. Develop and distribute quarterly newsletters to staff, families and stakeholders.
13. Monitor and maintain office equipment including submitting monthly reports.
14. Participate in monthly program file reviews.
15. Complete Monthly Safety Checklist.
16. Maintain Staff Directory and Organizational Chart.
17. All other duties as assigned.
Supervisory Responsibilities: None
Education and/or Experience: Associate's degree required.
Qualifications: The requirements listed below are representative of the minimal knowledge, skill, and/or
ability required for this position.
1. Ability to be flexible and able to work on multiple projects or tasks simultaneously.
2. Administrative skills include proficiency with Microsoft Office Suite (Outlook, Word,
PowerPoint and Excel), data entry, scanning, faxing, uploading and attention to detail.
3. Good written and verbal communication skills and ability to maintain effective working
relationships.

4. Demonstrated ability to handle confidential matters.
5. Demonstrate sensitivity to the service population's cultural and socioeconomic characteristics.
Other Qualifications: Must pass all applicable background checks. Must be able to pass medical
examination and Tuberculosis test. Must possess a valid driver's license from the state in which you
reside. Must be approved through The Salvation Army Fleet Safety Program to drive either a Salvation
Army or personal vehicle on Salvation Army business. Must successfully complete Safe from Harm
training within 90 days of hire, as established by The Salvation Army.
Certificates, Licenses, Registrations: Obtain certification in First Aid, CPR and CPI within 6 months of
hire.

Working Conditions: While performing transportation duties of this job, the employee is regularly
exposed to outside weather conditions. The noise level in the work environment is usually moderate.
