Responsibilities

  • Coordinate calendars, meetings, events with partners, mentors, awardees, and alumni.
  • Liaise between Academic Program Specialist, students, alumni and external stakeholders; manage English/Spanish communications.
  • Create and process purchase requests, reimbursements and scholarship forms using RFCUNY and CUNY systems; assist with procurement.
  • Support planning, execution and follow-up of institute events, workshops and scholarship activities.
  • Organize and maintain electronic and physical records, directories, and key administrative documentation.
  • Provide logistical support and bilingual communication for Institute initiatives, including FILNYC.
  • Train, supervise, and support interns and student workers as needed.
  • Ensure compliance with CUNY, RFCUNY, and institutional policies.
  • Perform other administrative, clerical, and research duties as assigned.

Position Details

Administrative Coordinator POSITION DETAILS Lehman College, of The City University of New York, ranks among the top five institutions in the nation for fostering social mobility. The CUNY Mexican Studies Institute (MSI) based at Lehman College is dedicated to empowering Mexican and broader Latinx communities in New York City through research, education, and community engagement. The CUNY Mexican Studies Institute (MSI) seeks a dedicated and highly organized Administrative Coordinator (aHEO) to support its Academic and Student Services unit and the New York’s International Spanish-language book fair, FIL Ciudad de Nueva York (FILNYC).

The Administrative Coordinator will play a pivotal role in supporting scholarship programs, workshops, and cultural programming that advance MSI’s mission of expanding educational opportunity, promoting scholarships, and strengthening community engagement with Mexican and Mexican-American communities in New York.

Reporting directly to the Academic Program Specialist, this role will serve as a key administrative partner ensuring the efficiency, accessibility, and continuity of student-facing and cultural initiatives.

The ideal candidate is bilingual in English and Spanish, with strong organization and communications skills, a keen eye for detail, and the ability to thrive in a fast-paced, multicultural academic environment.

Key Responsibilities
  • Coordinate and maintain calendars, scheduling meetings, events, and engagements with partners, mentors, awardees, and alumni.
  • Serve as a liaison between the Academic Program Specialist, students, alumni and external stakeholders; manage correspondence, memos, and follow-up communications in English and Spanish.
  • Create and process purchase requests, reimbursement, and scholarship forms using RFCUNY and CUNY systems; assist with procurement.
  • Support the planning, execution, and follow-up of institute events, workshops, and scholarship activities.
  • Organize and maintain accurate electronic and physical records, directories, and key administrative documentation.
  • Provide logistical support and bilingual communication for Institute initiatives, including FILNYC.
  • Train, supervise, and support interns, and student assistants as needed.
  • Ensure compliance with CUNY, RFCUNY, and institutional policies.
  • Perform other administrative, clerical, and research duties as assigned.
  • Some evenings and weekends hours are required
Qualifications
  • Bachelor's Degree required. (Business Administration, Public Administration, Liberal Studies, Education, or a related field is preferred).
  • At least 2 years of relevant administration experience, prior experience in higher education or nonprofits strongly preferred.
  • Proficiency in Microsoft Office Suite, Google Workspace, and social media channels.
  • Knowledge of CUNY systems and procedures (CUNYfirst, Research Foundation, eProcurement) a plus.
  • Excellent written and verbal communication skills in both Spanish and English is required.
  • Strong organizational, time-management, and problem-solving skills.
  • Ability to manage confidential information with discretion and sound judgment.
CUNY Title Overview
  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
  • May supervise office staff and student workers.
  • Performs related duties as assigned.

Salary commensurate with education and experience. $52,426
