Job summary

Indiana University Health in Bloomington is seeking an Administrative Coordinator to provide high-level administrative support to the Director of Clinical Operations and unit managers. You will conduct RN candidate interviews, coordinate shadows, and help connect prospective nurses with the right unit and manager for a smooth onboarding process.

You will also manage calendars, take notes, prepare presentations and reports, and contribute to a well-organized, patient-focused nursing team

Qualifications

  • Bachelor's degree or equivalent years of experience required.
  • 3–5 years of relevant administrative experience.
  • Experience with a matrix organization and complex work environment preferred.
  • Advanced proficiency in MS Office (Word, PowerPoint, Excel).

Responsibilities

  • Manage the Director's calendar and the calendars of three-unit managers with high autonomy.
  • Take notes, transcribe meeting minutes, track action items, and follow up as needed.
  • Coordinate supply ordering and ensure day-to-day office operations run smoothly.
  • Support department-wide project coordination and tracking.
  • Conduct functional interviews with all RN candidates for Bloomington Hospital and connect candidates with the right unit and manager.
  • Coordinate RN candidate shadows and serve as warm, welcoming first point of contact.
  • Assist with preparation of high-quality presentations, reports, and correspondence.

Administrative Coordinator

We are seeking a proactive, personable, and operationally sharp coordinator to provide high-level administrative support to the Director of Clinical Operations and unit managers at Bloomington Hospital. You will also conduct all RN candidate interviews for Bloomington Hospital, coordinate candidate shadows, and connect prospective nurses with the right unit and manager. You're not just keeping the office running - you're helping shape the nursing team that delivers care to Bloomington's patients every day.

Key Relationships

Reports to: Director, Clinical Operations

Direct reports: No

Shift: Full time, Monday - Friday, onsite

Location: Bloomington, IN

The Scope:

This role supports clinical operations administrative and functional interviewing needs at Bloomington Hospital, including:

  • Managing the Director's calendar and the calendars of three-unit managers with high autonomy
  • Taking notes and transcribing meeting minutes, tracking action items, and following up as needed
  • Coordinating supply ordering and ensuring day-to-day office operations run smoothly
  • Supporting department-wide project coordination and tracking
  • Conducting functional interviews with all RN candidates for Bloomington Hospital - assessing fit and connecting candidates with the right unit and manager

Candidate Qualifications

Candidates for this position will be evaluated according to the following criteria and competencies.

  • Bachelor's Degree or equivalent years of experience is required.
  • Requires 3-5 years of relevant experience.
  • Requires intermediate experience in receiving, analyzing, and interpreting complex data and information.
  • Experience with a matrix organization and complex work environment is preferred.
  • Requires advanced proficiency in MS office (Word, PowerPoint, Excel).
