  • Coordinate printing, inventory of marketing materials; maintain nonprofit profiles.
  • Provide admin support to the Executive Director, development team, and Operations Manager.
  • Attend weekly staff meetings and participate in relevant training.

Over the past 20 years, the Foundation has successfully raised and allocated millions of dollars toward programs and initiatives that support students across the district. Our work helps remove barriers, support wellness, enhance learning, and build connections so that every student has the opportunity to thrive.

About the Role:

The Administrative & Communications Assistant works closely with the Communications Manager and plays an important role in supporting the day-to‑day work of Lake Washington Schools Foundation. This 20-hour-per-week position is primarily responsible for communications administration, event and program coordination, and the maintenance of organizational resources and systems.

The Administrative & Communications Assistant also provides administrative support to the Executive Director, development team, and Operations Manager as needed. This role is well suited for someone who is highly organized, detail-oriented, comfortable working across multiple projects and digital platforms, and enjoys helping a small, collaborative team operate efficiently.

This hybrid position has a flexible work schedule, with availability to schedule hours between 9 AM and 5 PM; occasional special event attendance may be required.

Responsibilities:

Under the supervision of the Executive Director, the Administrative & Communications Assistant:

  • Communications & Digital Content: Schedules and publishes approved email campaigns, social media posts, blog content, partner newsletter submissions, and press releases. Performs routine website updates, including posting approved content, creating campaign landing pages, updating the event calendar, and maintaining current and accessible content, graphics, and alt text.
  • Contact & Resource Management: Maintains mailing lists and tags in Constant Contact and coordinates annual updates to student, staff, media, and other organizational contact lists. Maintains organizational communications resources, including the photo library, quote bank, Ambassador Hub, and Ambassador Outreach Kits.
  • Program Coordination: Supports programs by managing registration, RSVPs, attendance tracking, and follow-up communications; coordinating logistics such as room reservations, supplies, signage, materials, and staff support. Compiles the monthly programs report by gathering and organizing updates from program leaders and staff. May occasionally need to attend in-person events on evenings and weekends.
  • Marketing & Organizational Materials: Coordinates printing, ordering, and inventory of marketing materials, event supplies, outreach resources, and promotional items. Maintains the organization's bulletin board and external nonprofit profiles, including Charity Navigator, Candid, and GreatNonprofits.
  • Administrative & Team Support: Provides administrative and project support to the Executive Director, development team, and Operations Manager as needed. Support may include scheduling, document preparation, coordinating donor communications, data entry, research, organizing materials, and coordinating logistics.
  • Event Support: Provides event support to table captains and other volunteers. Coordinates important aspects of the Spring Benefit such as the Raffle and Dessert Dash. Provides “day of “event support.
  • Other Duties: Performs additional job-related duties as assigned to support LWSF's mission and organizational needs.
  • Meetings and Professional Development:
    • Attend weekly staff meetings and other meetings as necessary.
    • Participate in relevant training and professional development opportunities as appropriate. LWSF will cover approved expenses.
Skills and Experience Requirements:
Core Skills:

  • Flexible, dependable, and comfortable taking on a variety of administrative tasks as organizational needs evolve.
Technology Skills:
  • Proficiency with Microsoft Office products and comfort learning and working across multiple digital platforms and organizational systems.
  • Familiarity with Microsoft SharePoint and Teams.
Preferred Experience:

Experience in one or more of the following is a plus:

  • Email marketing, website content management, or social media publishing platforms.
  • Canva or other basic graphic design tools.
  • Event or program coordination.
  • Nonprofit organizations.
