Summary of Position

An Administrative Clerk is responsible for providing administrative support and performing a variety of office tasks to ensure smooth and efficient operations within an organization. Their duties typically include:

Duties & Responsibilities

Functions include but are not limited to the following. Must be able to move freely between tasks depending on workload, season, etc.

Key responsibilities include but are not limited to:

  • Serve as the Main Receptionist for the Office: Is the first point of contact for visitors, clients, and employees, the Administrative Clerk is responsible for managing the front desk and ensuring smooth communication within the office.
  • Payroll – PET (Daily Transfers, Validations, and Adjustments): Responsible for managing payroll-related tasks, particularly regarding daily transfer entries, validation of employee work hours, and processing necessary adjustments.
  • Contract Labor Data Entry: Enter contract labor details into the company’s records system, ensuring accurate and up-to-date information is maintained.
  • Collect, Sort, and Distribute Mail: Oversee the handling of physical mail for the office to ensure timely delivery and proper distribution.
  • Order Office Supplies and Manage Inventory: Oversee inventory management of office supplies to ensure the office is well‑stocked and functional.
  • Assist Crop Supervisors with Requests as Needed: Provide administrative assistance to crop supervisors or other agricultural team members, ensuring they have the necessary resources and information to perform their duties.
  • Other Data Entry as Needed: Provide general data entry support for various departments, ensuring the accuracy and timely processing of information.

EDUCATION and/or EXPERIENCE:

  • High School diploma or GED AND 1-2 years of administrative/clerical experience.

SPECIFIC KNOWELDGE, AND SKILLS:

  • Proficient in Microsoft office products -- Excel, Word, Outlook, PowerPoint, etc.
  • Demonstrated knowledge of accounting, and payroll
  • Must have the ability to communicate effectively both written and verbal.

Pay Rate: $19.50-$20.50/hour. Final compensation will be dependent upon skills & experience.

Physical Demand(s)

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Mobility to work in a standard office setting and use standard office equipment, including a computer. Vision to read printed materials and a computer screen; and hearing and speech to communicate in person, and over the telephone. This is primarily a sedentary office classification although standing and walking between work areas may be required. Finger dexterity needed to access, enter, and retrieve data using a computer keyboard, calculator, and to operate standard office equipment. Occasionally bend, stoop, kneel, reach, push, and pull. Ability to lift, carry, push, and pull materials and objects up to 25 pounds or heavier weights with assistance and/or the use of proper equipment.Physical exertion is moderate. Frequent moving and stationary position.

Incumbents typically work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. Incumbents will interact with individuals in interpreting and enforcing rules, policies, and procedures. Incumbents may be assigned an irregular work schedule, including weekends, early mornings, evenings, and holidays.
