Job summary

Plante Moran is seeking an experienced administrative professional in the United States to maintain data integrity dashboards, manage firm workflows, and handle client billing. The role includes onboarding clients, scheduling meetings, and assisting with proposals and deliverables across the team.

The candidate will coordinate travel, organize calendars, and ensure timely communication with partners and clients in a fast-paced professional services environment.

Qualifications

  • 5+ years of administrative experience in a professional services setting.
  • Proficient with Microsoft Office; familiarity with CRM systems such as WYN/Salentica.
  • Excellent organizational and time-management skills with attention to detail.

Responsibilities

  • Oversee and maintain data integrity dashboards and reporting.
  • Manage firm workflow systems and databases.
  • Handle client billing and pipeline management.
  • Onboard clients and coordinate onboarding materials.
  • Schedule client meetings and coordinate internal calendars.
  • Support office operations and arrange travel/logistics.
  • Assist with proposals, RFPs, presentations, and deliverables.
  • Prepare materials for electronic delivery and archival storage.
  • Maintain confidentiality and support team communications.

Your Role
  • Overseeing and maintaining systems: Data integrity dashboard maintenance and reporting
  • Firm workflow systems and databases
  • Client billing
  • Pipeline management - responsible for accurate input, compilation, and reporting of team’s opportunities
  • Direct client onboarding and ongoing assistance: Client onboarding materials
  • Ensure above forms are delivered and receipted back for processing
  • Direct client and internal staff communication on processes to meet client needs
  • Simultaneous ring for partners and relationship managers to ensure timely communication with clients
  • Responsible for scheduling client meetings
  • General Office: Assist Partner with various duties, including opening and organizing mail, organizing office, scheduling prospect calls, travel arrangements, scheduling and maintaining calendars, time and expense reports, organizing/processing billing, CPE reporting
  • Assist with the production and editing of client or Firm deliverables, such as proposals/RFPs, presentations, reports, spreadsheets, and reports
  • Prepare materials for electronic delivery, though scanning or other delivery methods may apply
  • Preparation of proposal packets/meeting materials
  • Proofreading of correspondence prepared by other staff
  • Document maintenance and retention (save, scan, upload to applicable sites)
  • Liaison for outside organizations/persons, when necessary
  • Arrange for conference rooms, including equipment needed and/or conference calls, meeting breakfast/lunches/coffee, etc.; may include reservations for leased conference rooms
  • Miscellaneous team reservations (travel, lunch, dinner, etc.)
  • Communication activities, including tracking and updating staff on deadlines and target dates.
  • Manage conflicting priorities and overall backlog of admin requests
  • Organize team meetings, including agendas, project lists, minutes, and reports
The qualifications
  • 5+ years of administrative experience, preferably in a professional services environment
  • Microsoft Office experience required, WYN/CRM/Salentica experience highly preferred
  • Proven administrative, organizational, and time management skills with great attention to detail and accuracy
  • Superior verbal and written communication skills and a focus on client service, exercising independent judgment
  • Ability to communicate effectively with partners, staff, and visitors
  • Ability to multi-task and work in a fast-paced atmosphere
  • Superior data entry and alpha/numeric skills
  • Versatile within a team environment - maintaining confidentiality, credibility, and trust

This is a non-exempt position, so you may have to work hours that exceed the standard 40-hour work week.

The compensation range reflects the base salary we reasonably expect to pay for this position across our offices in the following regions: CO, IL, OH, and MA. Generally, experienced hires are not hired at or near the maximum salary range, as compensation decisions take into account a wide variety of factors, including but not limited to: responsibilities, education, experience, knowledge, skills, and geography. The compensation range for this role in CO, IL, OH, and MA is: $22.82-$37.21 #LI-CB1 #LI-Onsite
