Job summary

Plante Moran Financial Advisors, LLC (PMFA) seeks an organized Client Services Administrator to support the client service team in a fast-paced, professional office environment. You will prepare account paperwork, coordinate transfers, and act as a liaison between advisors, staff, custodians, and clients.

The role requires at least 2 years of administrative or investment industry experience, a high school diploma, and strong communication skills.

Responsibilities

  • Client Services Administration
  • Deliver superior client service
  • Serve as a liaison between internal staff, custodian, and others as needed
  • Prepare new account paperwork
  • Prepare paperwork for account changes
  • Prepare account transfer paperwork and verify asset transfer eligibility
  • Ensure timely completion of account transfers and related paperwork
  • Frequent communication with custodians and internal staff
  • Monitor and follow up on alerts
  • Identify and communicate client service opportunities to internal professionals
  • Assist with money movement activities
  • Adhere to PMFA policies and procedures
  • Develop, document, and maintain process policies and procedures
  • Interact with internal and external professionals
  • Cross train and back up to other team members
  • Assist in testing and rollout of system upgrades and new technology
  • Coordinate workload with team members
  • Review agreements for compliance
  • Self-review of tasks and client deliverables
  • Manage and prioritize tasks and workflows
  • Serve as liaison between advisors and PMFA operations
  • Field questions related to client data or reports
  • Research and resolve issues related to client information

Your role. Your work will include, but not be limited to:

  • Client Services Administration
  • Deliver superior client service

  • Adhere to PMFA policies and procedures
  • Develop, document, and/or maintain process policies and procedures for department
  • Frequent interaction with internal and external professionals
  • Cross train and back up to other team members roles in operations
  • Assist in testing and roll out of system upgrades, system integration and new technology
  • Coordinate workload with other team members
  • Review agreements and be familiar with terms to ensure paperwork is in compliance
  • Self-review of tasks performed, including client deliverables
  • Manage and prioritize tasks and workflows
  • Serve as a liaison between advisors and the broader PMFA operations team
  • Field questions related to client data, reports, or any items as a result of work
  • Research and resolve issues related to client information
Qualifications
  • 2+ years administrative or investment industry experience required
  • High School diploma or GED equivalent is required
  • Client service orientation combined with creative problem‑solving skills
  • Strong written and oral communication skills
  • Ability to work effectively as part of a team, yet function well with independent responsibilities; ability to successfully interact with clients and other professionals to effectively deliver quality professional services to clients
  • Ability to thrive in a challenging and fast‑paced environment characterized by interruptions and multiple demands with strict deadlines; high stress tolerance

This is a non‑exempt position, so you may have to work hours that exceed the standard 40‑hour work week.

The compensation range reflects the base salary we reasonably expect to pay for this position across our offices in the following regions: CO, IL, OH, and MA. Please review the position description for the applicable geographic location.

The compensation range for this role in CO, IL, OH, and MA is: $24.95 - $33.87 #LI-CB1 #LI-Hybrid
