Administrative Assistant to the CEO

Location: On Site at Taylor Regional Hospital, Kentucky
Schedule: Full-time position- Days
Occasional evenings and schedule adjustments required to accommodate Board of Directors meetings, special events, and other business needs.
Position Summary
The primary function of this position is to serve as an important point of contact for the CEO, Board of Directors, hospital leadership, physicians, community partners, and other individuals conducting business with the hospital. We are seeking a highly organized, professional, and dependable individual to provide comprehensive administrative support to the CEO and Administration. This individual must possess exceptional communication and organizational skills, exercise sound judgment, maintain a high level of confidentiality, and effectively manage multiple priorities in a fast-paced healthcare environment.
What You’ll Do
- Prepares, edits, and proofreads correspondence, reports, memoranda, presentations, and other materials; assists with special projects and administrative initiatives as directed by the CEO.
- Communicates professionally and effectively with visitors, patients, medical staff, hospital staff, leadership, community partners, and other internal and external contacts.
- Supports cost containment efforts by suggesting material and/or time saving improvements to appropriate supervisory personnel.
- Collects, organizes, and prepares information and materials for monthly Board of Directors meetings and other meetings; prepares agendas and supporting materials, records and maintains accurate meeting minutes, and distributes meeting materials and minutes as appropriate.
- Manages and coordinates the CEO's calendar, including appointments, meetings, events, travel, and other commitments; proactively coordinates schedules, resolves conflicts, communicates changes, and ensures timely follow-up on scheduling-related matters.
- Supports the development and achievement of goals and objectives consistent with organizational priorities; assists in developing, coordinating, and following through on effective action plans to support successful outcomes.
- Assists in coordinating survey teams for licensures, JCAHO and other review survey matters.
- Maintains strict confidentiality of all sensitive and proprietary information, including patient, employee, financial, legal, operational, and organizational information; exercises discretion and sound judgment when handling confidential matters and ensures information is shared only with authorized individuals.
- Completes other duties as assigned.
What We’re Looking For
- High School Diploma or equivalent
- 5+ yrs of experience required
- Previous experience in healthcare preferred.
