Job Summary

The Administrative Assistant role involves supporting the Office of Title III Program Administration by monitoring all Title III Grant funded initiatives.

Essential Functions
  1. Assist the Director with monitoring all the Title III Grant funded initiatives.
  2. Edit, format, and revise a variety of documents and materials created by others. Proofread for grammatical, typographical, and content errors.
  3. Convert rough drafts into final reports, presentations, and documents, incorporating edits, graphics, and campus style guidelines.
  4. Draft and sign routine correspondence and replies to inquiries that do not require technical program knowledge.
  5. Develop, implement, and maintain paper and electronic filing systems that meet department needs and security requirements. Create reports as needed.
  6. Research, analyze, and summarize information for reports; communicate findings orally and in writing.
  7. Manage incoming correspondence, prioritize reviews, and handle or forward items appropriately.
  8. Screen telephone calls and visitors, handle procedural matters, and refer inquiries as needed.
  9. Arrange travel and perform administrative follow-up and recordkeeping using internal databases.
  10. Assist in preparing and managing the department budget by updating accounts and generating reports.
  11. Act as intermediary for the supervisor, interacting with officials, staff, and the public, providing information on institutional policies and issues.
  12. Provide guidance to other office support staff if needed.
Minimum Education And Experience
  1. High School Diploma or GED required.
  2. At least five years of administrative support experience in a college, university, or related field, or a combination of training and experience.
  3. One year of grant administration support preferred.
  4. Ability to work well with diverse academic community members, including faculty, staff, students, and external entities.
Knowledge, Skills, And Abilities
  1. Knowledge of office practices and procedures.
  2. Effective oral and written communication skills, including proofreading and editing.
  3. Proficiency in computer software such as word processing, spreadsheets, databases, presentation programs, Internet, email, and calendaring.
  4. Ability to follow instructions and interact courteously with internal and external parties.
  5. Strong organizational and prioritization skills to manage multiple assignments.
Physical Requirements
  • Some physical work may be required occasionally.
