ADMINISTRATIVE ASSISTANT
We have an opening for a sharp and versatile Administrative Assistant at our Tampa office. This role involves a variety of administrative duties, including client and project setup, preparing project billing, handling collections, processing receivables, payables, purchase orders (POs), and change orders (COs), updating project budgets, vendor setup, distributing reports, entering employee timesheets, assisting HR with employee paperwork, ordering office and safety supplies, and handling incoming and outgoing mail. Additional responsibilities include answering phones daily and occasionally editing and preparing engineering reports and proposals. The ideal candidate will have worked in an engineering firm and performed similar responsibilities.
Requirements:
Preferably one year of experience with accounts receivables and payables.
Billing experience preferred.
Collections experience is a plus.
Proficient in Microsoft Word, Excel, and Outlook.
Accurate with the ability to meet billing deadlines and management objectives.
Strong ability to build and maintain cooperative working relationships.
Excellent verbal and written communication skills.
Exceptional organizational skills with keen attention to detail.
Strong analytical and problem-solving skills.
Must be able to work at our office location during regular business hours.
