Job summary

College of the Muscogee Nation seeks an administrative support professional to assist the Student Success Center Coordinator and Academic Counselor. Responsibilities include organizing student inquiries for appointments, walk-ins, testing, freshman registration, and telephone calls, plus data collection and reporting tasks.

The role requires an Associate degree and advanced electronic office administration experience; proficiency in Microsoft Excel, Word, and PowerPoint is expected.

Qualifications

  • Associates Degree with advanced electronic office administration experience.
  • Proficient in Excel, Word and PowerPoint.
  • Tribal College experience preferred; Native American and Veteran preference.

Responsibilities

  • Assist with administration of advising and counseling services and coordinate inquiries for appointments, walk-ins, testing and registration.
  • Create and maintain databases, spreadsheets and other computerized files for programs.
  • Prepare requisitions and order supplies; maintain data and generate reports.
  • Screen students for department services eligibility and assist with registration/testing on site.
  • Answer calls, emails and mail inquiries and handle confidential records.

Job description

General Summary: To assist the Student Success Center Coordinator and Academic Counselor in the administration and coordination of all advising and counseling services by, organizing student inquiries for scheduled appointments, walk-ins, testing, freshman registration, and telephone calls. Also responsible for gathering, tabulating, verifying and maintaining data to be used in reports. Must be comfortable in multicultural and Native American settings.Principal Duties and Responsibilities:Assist with the collection and verification of data for the various advising and counseling servicesAssist the Coordinator in developing, implementing and evaluation special projects.Create and maintain various databases, spreadsheets and other computerized files for the programs.Assist the Coordinator in completing all statistical reports and surveys.Make travel arrangements for conferences and special functions.Maintain current awareness of features, modifications and/or enhancements of software used in the office, division and college.Enter and process data, type/word process contracts, grant proposals, syllabi, tests, exams, certificates, internal and external reports, letters, requisitions and other correspondence.Assist with student registration and on site testing, maintain registration and testing data; input student information on the college’s student information system.Schedule appointments, trainings, advising, and counseling services.Prepare requisitions and order program supplies and educational materials via the college’s financial information system according to College policy and procedures.Screen students for department services eligibility.Maintain files and records, including confidential material, required and generated by the Coordinator.Answer telephone; respond to telephone, email and mail inquires.Other duties as required.Standard for Merit Performance: Perform duties in an effective and efficient manner; be motivated, conscientious, thorough, accurate and reliable with respect to attendance. Exhibit exemplary oral communication, interpersonal and organizational skills.1. Minimum Requirements – Associates Degree and advanced electronic office administration experience required. Proficient in Microsoft Excel, Word, and PowerPoint, adding machine/calculator, copy machine, fax machine, telephone.2. Preferred Requirements – Tribal College experience.3. Special Considerations – Ability to speak the Muscogee (Creek) language is preferable but not a requirement.
