Job summary

Amplify in the United States is seeking an organized Administrative Assistant to support the Product Administrative Team. You will handle complex calendars, travel, correspondence, and prepare presentations while maintaining professionalism.

Qualifications

  • College degree or equivalent experience.
  • 1+ year of Administrative Assistant / Operations Assistant / Executive Assistant experience.
  • Excellent verbal and written communication skills.
  • Experience with Microsoft Suite and Google Apps.

  • Coordinate complex travel arrangements with discretion and sound judgement.
  • Function as a gatekeeper, tracking and following up on office correspondence.
  • Perform administrative duties such as filing, copying, drafting documents, and handling phone calls.
  • Run operational reports and track metrics to aid process optimization.
  • Research background information on technologies and vendors to summarize findings.
  • Assess priorities and determine task urgency.
  • Communicate effectively with internal managers and staff.
  • Organize core processes including vendor invoices, expense reporting, time tracking, and staffing.
  • Take initiative with calendars, meetings, travel, and presentation prep.
  • Handle confidential information with discretion and professionalism.
  • Cultivate relationships with employees and colleagues.

Job Description

We are seeking a dynamic candidate to support the Product Administrative Team. This is a broad position that requires someone who is a problem-solver and can offer reliable support to the rest of the team. The ability to multitask while maintaining complex schedules and managing administrative support is essential in this position. The ideal candidate for this job is resourceful, highly organized, and a great communicator.

Responsibilities
  • Support Product leadership in daily tasks
  • Coordinate complex travel arrangements using discretion and sound judgement
  • Function as a gatekeeper, including tracking and follow-up on office correspondence
  • Perform administrative duties such as filing, copying, drafting documents, and answering/managing phone calls
  • Run operational reports and track metrics to assist in process optimization
  • Research background information on technologies, solutions, vendors, etc. to create summaries of the findings
  • Continually assess priorities and determine urgency of tasks at hand
  • Communicate effectively and deal professionally with internal managers and staff
  • Exercise sound judgment and problem-solving skills that allow the office to function professionally and efficiently
  • Organize and help execute core processes including: processing vendor invoices, expense reporting, time tracking, staffing processes, etc. across the organization
  • Take initiative in executing a wide variety of administrative support duties including the management of complex calendars, arrangement of meetings and travel, assistance with presentation preparation, etc
  • Handle confidential information with discretion and professionalism
  • Cultivate relationships with employees and co-workers
Minimum Requirements
  • College degree or equivalent experience
  • At least 1 year of experience as an Administrative Assistant, Operations Assistant, or Executive Assistant in a professional, office environment
  • Excellent verbal and written communication skills
  • Experience with Microsoft Suite (Word, Excel) and Google Apps (Gmail, Calendar, Sheets)
  • Strong organizational, analytical and problem-solving skills
  • Ability to prioritize tasks and anticipate changing needs
  • Ability to multitask in a fast-paced environment
  • Capacity to interact and interface with people on all levels and of all backgrounds
Preferred Qualifications of the Administrative Assistant
  • Ability to work well under pressure, handle interruptions, and adjust priorities throughout the day
  • Aptitude to grasp complex tasks and carry out directions independently
  • Self-directed and motivated; able to work independently as well as collaboratively with a team
  • Ability to handle a high pressure and high volume workload
