Administrative Assistant
Note: This is a part-time, on-site position scheduled for 30 hours per week.

The Administrative Assistant plays a key role in supporting the Office of the President and ensuring the Charlotte office operates smoothly and efficiently. This position serves as the first point of contact for the office, providing a welcoming and professional presence while coordinating administrative tasks, communications, scheduling, and general office support. Through strong organization, attention to detail, and a service-oriented approach, the Administrative Assistant helps create an effective and responsive ministry environment.

Essential Duties and Responsibilities
Executive Assistance to the CEO/President
- Provide executive administrative support to the CEO/President, including calendar coordination, meeting preparation, communication support, document organization, and follow-up on assigned action items.
- Handle confidential and time-sensitive information with discretion, professionalism, and attention to detail.
Administrative Support to Executives and Departments
- Provide administrative support to Executive Leadership Team members who do not have assigned administrative assistance, including the CMO, CAO, COO/CFO, Chief of Staff, and others as assigned.
- Assist with administrative tasks delegated by the Finance and Human Resources teams, including document preparation, filing, scheduling, data entry, communications, and process support. Maintain confidentiality and accuracy when handling financial, personnel, or other sensitive administrative information.
- Provide administrative assistance for key tasks delegated by the Advancement Team, supporting donor-related processes, communications, scheduling, materials preparation, and team coordination as needed.
Office Administration
- Oversee daily office administration duties, ensuring the office is organized, welcoming, well-stocked, and operating efficiently. Manage office supplies, shared spaces, and general logistics.
- Serve as the primary first point of contact for visitors, partners, vendors, delivery personnel, and team members, providing professional hospitality and responsive assistance.
- Manage incoming and outgoing mail, postage, and deliveries.
- Coordinate hospitality needs for visitors, meetings, and staff gatherings, including preparation of spaces, refreshments, materials, and related follow-up.
Board Meeting Support
- Support the planning and execution of Board meetings, including both in-person and virtual meeting logistics.
- Coordinate with internal stakeholders to help ensure Board meetings are professional, organized, and executed smoothly.
Personal Qualifications
- Committed follower of Jesus Christ with a growing personal faith, actively engaged in a local church and passionate about global missions.
- Deep alignment with and understanding of Mesa Global’s mission, vision, values, and strategic goals.
- Fully affirms and upholds Mesa Global’s Statement of Faith and organizational policies.
- Associate’s degree preferred or equivalent relevant experience.
- Three to five years of experience in an administrative or executive assistant role, supporting C-Suite or Senior leadership, ideally within a non-profit, faith-based or mission-driven organization.
- Strong written and verbal communications skills for donor, partner, employee, and leadership level correspondence.
- Proficiency with Microsoft Office Suite and/or Google Workspace, calendar management tools, and virtual meeting platforms.
- Experience coordinating calendars, travel, meetings, and logistics for multiple executives, including support for Board-level meetings such as scheduling, materials preparation, and minutes. Ability to support multiple executives with competing priorities.
- Proficiency in office administration and shared office operations, including facilities coordination, vendor and maintenance support, mail and package handling, supply ordering, inventory, and hospitality for visitors, partners, and teams.
Preferred Qualifications
- Familiarity with Financial and Advancement management platforms.
- Experience providing Executive-level support at a Christian ministry.
Physical Requirements
- Prolonged periods of sitting at a desk, on virtual calls, and working at a computer.
- Must be able to lift 15 pounds at times.

Travel Requirements
- Domestic travel and potential for occasional international travel.
