  • Learn and utilize financial systems to submit reimbursements and employee requests.
  • Coordinate bookings for conference rooms and events; manage supplies and repairs.
  • Schedule appointments, coordinate meetings and conferences, resolve inquiries.
  • Organize and execute events for the Dean's team in line with university policy.
  • Troubleshoot common tech issues with basic computer and laptop problems.

Administrative Assistant IV
Job Summary

The Administrative Assistant IV will provide administrative supportto the Dean of the Spencer Fox Eccle School of Medicine and workwith other administrative stuff to perform a variety of supportduties to ensure office operations fun smoothly and efficientlywithin the Dean's Office at the Spence Fox Eccle School ofMedicine.

The Administrative Assistant will provide calendar support,schedule complex meetings, make travel arrangements, and providegeneral administrative support as needed for the Dean and theDean's Office team. In addition, this person will support theDean's Office by managing the front desk and related activities,manage large, complex meetings and support related activities liketechnology set up, catering, and generally help manage the officeby monitoring and ordering supplies, and scheduling maintenancerepairs.

This role is required to manage a wide range of tasks and projectswith professionalism, discretion, and attention to detail.

Responsibilities
  • Professionally manage daily phone calls and serve as the firstpoint of contact for the Dean's Office Suite, maintain a high levelof etiquette and discretion.
  • Support office leadership by keepingoperations organized and team dynamics efficient, and byimplementing and maintaining morning and closing procedures.
  • Uphold strict confidentiality and professionalism for all Dean'sOffice matters.
  • Learn and utilize financial systems to submitP-Card reimbursements and employee ePRs in compliance with Dean'sOffice Finance policies.
  • In partnership with other Dean's Officestaff, manage weekly to semi-weekly orders for office supplies,including food and beverages.
  • Provide administrative assistant toDean's Office leadership team, including scheduling appointments,coordinating meetings and conferences, and resolving staff/facultyinquiries by directing them appropriately.
  • Organize and executeevents for the Dean's team in accordance with University policy.
  • Resolve common tech issues with intermediate proficiency incomputer and laptop troubleshooting.
  • Coordinate bookings forconference rooms and other Dean's Office spaces.
  • Addressadministrative issues and direct staff, faculty or students toappropriate resources.
Administrative Assistants, IV

Perform a variety ofadministrative support duties for an individual, group, ordepartment to ensure office operations run smoothly andefficiently. Create and maintain files, compile reports, andmanage, store, and disseminate information, ensuring security andcompliance of information. Assist in planning departmentactivities, manage meeting calendars, and make travel arrangements.Track expenses, monitor and order supplies, and schedulemaintenance repairs. Remain knowledgeable of group / departmentpolicies. May make contacts of a sensitive, complex, andconfidential nature. May work for one or several departmentprofessionals, division heads, officers, or managers. Highest-levelsupport. Performs advanced tasks under minimal supervision. Minimum Qualifications
