Job summary

Maryland-National Capital Park and Planning Commission seeks an Administrative Assistant III to support Fleet Administration. The role focuses on procurement, fixed asset control, and payment processes to keep the fleet operations running smoothly in Prince George’s County.

You will manage travel advances, vendor payments, and contract tracking while ensuring compliance with internal policies and accurate record-keeping across the budgeting system.

  • Four years of progressively responsible experience including at least two years in admin/clerical support and at least one year in technical support in admin management areas.
  • An equivalent combination of education and experience may be substituted, which together total 4 years.

Responsibilities

  • Prepare travel advances, check requests, and other financial documents to ensure the facility is operable.
  • Track fleet purchases and expenditures against the correct accounting unit and ensure timely vendor payments.
  • Review expenditures and confirm alignment with M-NCPPC policies; track against LAWSON and asset records.
  • Assist in preparing contracts for the fleet and monitor payments and renewals.

Description

The Maryland-National Capital Park & Planning Commission is one of the largest organizations servicing both Montgomery and Prince George’s Counties. In both counties we manage the park systems, but in Prince George’s County we also develop the public’s recreation programs.

Under the Department of Parks & Recreation, the Facility Services Division (FSD) is the largest division. We provide high quality maintenance and maintenance support services for all of the parks and recreation facilities within Prince George’s County. We have six major work areas: Fleet Management, Buildings & Structures (Trade Shops), Horticulture & Forestry, Major Maintenance & Inspection, Critical Projects (Aquatics, Heavy Equipment, and Sustainability) and the Administrative section.

Examples of Important Duties

This administrative support position resides within the Fleet Administration section. The candidate will work in a busy fleet office environment and is responsible for preparing/managing the procurement, fixed asset control, and computer/software systems for the Fleet.

You will report directly to the Fleet Service Manager and Trades Shop Supervisor and be responsible for preparing travel advances, check requests, and other necessary financial documents to ensure the facility is operable. Prepare all necessary paperwork to ensure vendors are paid in a timely manner. Track all fleet purchases to ensure they are in accordance with M-NCPPC policies and procedures. Review all expenditures, making sure they are tracked against the correct accounting unit. Track all fleet transactions and compare them against LAWSON. Assist in preparing contracts for the fleet and making sure they are up to date as well as track contract payments and renew before the expiration date. Keep files current on all transactions for budgeting purposes. Answer phones and assist staff and vendors with fleet issues. Experience preferred with processing and tracking Motor Vehicle Administration (MVA) documents and using Fleet Management asset software similar to FASTER. Experience is also preferred with fuel management software, similar to Fuelmaster. Experience with Lawson preferred (buyer, processor/receiver). Keep an open line of communication with the purchasing department, to ensure you are in compliance with current procedures. May have to track items for fixed assets inventory.

This position offers a range of tasks and requires that you are a friendly, detail-oriented, team player who is willing to provide whatever administrative support is required. Excellent computer skills including Word, Outlook, and Excel are required. Perform other duties as assigned.

(Work Hours are 6:30 am – 3:15 pm)

Salary Range ($48,635-$86,138)

Working Conditions

Works in an office setting; may work outdoors briefly on an incidental basis. Work is primarily sedentary and requires very light to light physical effort; may require greater physical effort on an incidental basis. May be subject to various job demands such as high volume of work and tight deadlines.

Minimum Qualifications
  • High school diploma or a Certificate of General Educational Development (GED).
  • Four (4) years of progressively responsible experience that includes at least two (2) years in administrative and clerical support work and at least one (1) year of technical support experience in the administrative management areas of the specific position to be filled.
  • An equivalent combination of education and experience may be substituted, which together total 4 years.

It is not all-inclusive and is subject to change. Benefits listed are extended to all Merit System employees of the Maryland-National Capital Park and Planning Commission (M-NCPPC). All plans are optional except the Defined Benefit and Long-Term Disability plans.

Eligibility

You have 45 days from your hire date to elect your benefits. Your coverage begins on the first of the month following receipt of your enrollment forms and required documentation.

  • Two (2) times base salary; maximum benefit is $200,000 for each

Supplemental and Spouse/Dependent Life Insurance (Employee Pays 100%)

  • Supplemental – 1,2,3,4, or 5 times base salary; maximum benefit is $750,000

Sick Leave Bank (Contribution and Benefit hours prorated for part-time employees)

  • Employees have 60 days from date of hire to enroll.
