Job summary

The Metropolitan Water District of Southern California is seeking an Administrative Assistant II in Los Angeles, CA, to support the Finance and Administration team across multiple management levels.

Ideal candidates will have strong organizational and customer service skills, attention to detail, and the ability to manage time effectively. Hybrid work is typical, with in-person and remote days as needed.

Qualifications

  • High school diploma or equivalent with significant administrative experience.
  • Experience coordinating training or similar programs is a plus.
  • Strong attention to detail and excellent communication skills.

Responsibilities

  • Prepare letters, reports, and documents from rough drafts; format materials; create basic spreadsheets.
  • Act as Training Coordinator: process training requests, scheduling, tracking enrollment, maintaining records.
  • Answer inquiries, route calls, explain rules and procedures, provide information on institutional operations.
  • Extract information from sources for periodic or special reports; perform data entry; process invoices.
  • Process corporate credit card purchases and perform monthly reconciliations.

Job Summary

We’re looking for an Administrative Assistant II who’s enthusiastic about organization and dedicated to keeping operations running seamlessly. In the Finance and Administration’s Business Management Team, you will be responsible for a wide variety of administrative support to various management throughout the Section.

In addition to exceptional teamwork skills, your ability to be successful in this role is dependent on your attention to detail, customer service skills, willingness to learn, time management, organizational skills, administrative skills, and your ability to communicate and interact with others effectively.

What You’ll Do
  • Prepare letters, reports, and other documents from rough drafts; arrange materials into the proper format; and create basic spreadsheets.
  • Act as the Training Coordinator by processing employee training requests, scheduling and registering employees, tracking enrollment, and maintaining training records.
  • Answer inquiries; route incoming phone calls; explain or clarify rules, processes, and procedures; and provide information requiring general knowledge of institutional operations.
  • Extract information from a variety of sources and compile information for periodic or special reports; perform data entry; and process invoices.
  • Process corporate credit card purchases and perform monthly reconciliations.

Schedule

44/36, Monday through Friday / Every other Friday off. Monday through Thursday 9 hours per day, 8 hours per day every other Friday. Start times are no earlier than 6:30am.

Hybrid

Metropolitan’s current practice in this position is a hybrid work schedule. This typically includes two days a week in person and the other days remote. This is subject to change dependent on organizational needs. In addition, a telework policy is scheduled for negotiations and once completed and implemented, will provide final direction on the hybrid schedule.

Employment Standards Minimum Qualifications

Education and Experience: A high school diploma or high school certificate of equivalency and five years of relevant experience; or Associate’s Degree from an accredited college or university in a related field and three years of relevant experience; or Bachelor’s Degree from an accredited college or university in a related field and one year of relevant experience; or two years in a MWD Administrative Assistant I classification.

Relevant Experience is defined as: administrative work experience
