Job summary

Georgia Gwinnett College is seeking a full-time Administrative Assistant II to provide routine administrative support to the Department of Public Safety. Responsibilities include scheduling, records maintenance, data entry, and customer service within a structured environment.

Job Summary

Under general supervision, provides routine administrative and clerical support for the Department of Public Safety. Performs office support functions including scheduling, records maintenance, data entry, filing, purchasing support, and customer service.

This position assists Public Safety staff with general administrative processes and routine office operations while ensuring records and documentation are maintained in accordance with police agency and institutional procedures.

This position operates within a public safety environment supporting police operations, administrative compliance, and financial management. The role requires a high level of discretion, professionalism, and the ability to function effectively in a structured, policy-driven environment.

Responsibilities
Administrative Support
  • Provides administrative support to Public Safety personnel
  • Answers phones, responds to routine inquiries, and greets visitors
  • Assists with scheduling meetings and maintaining calendars
  • Prepares routine correspondence, forms, and basic reports
  • Maintains departmental files and records
Office & Records Support
  • Performs data entry and maintains office records and documentation
  • Assists with records retention and filing activities
  • Maintains office supply inventory and submits routine supply requests
  • Assists with organizing departmental documents and materials
Purchasing & Financial Support
  • Assists with preparing purchase requisitions and tracking paperwork
  • Assists with invoice processing and routing documents for approval
  • Maintains basic tracking logs and files related to purchasing activities
  • Assists with reconciling routine office documentation as directed
Meetings & Communications
  • Schedules meetings and prepares meeting materials as requested
  • Takes routine meeting notes and distributes information as directed
  • Assists with maintaining contact lists and communication records
General Office Duties
  • Assists staff with routine administrative tasks and projects
  • Maintains confidentiality of sensitive information
  • Performs other related duties as assigned
Required Qualifications
  • High School or GED
  • Two or more years of relevant experience
Preferred Qualifications
  • Experience performing clerical or administrative support duties in an office environment
  • Experience with Microsoft Office applications, including Word, Excel, and Outlook
  • Experience with financial systems, procurement processes, or ERP platforms (e.g., PeopleSoft, Banner)
  • Familiarity with public safety reporting requirements (e.g., Clery Act, incident reporting, compliance tracking)
Proposed Salary

34,800 - 41,700
Salary offer will be dependent on candidate's experience and qualifications, internal equity considerations, budget availability, and salary administration guidelines.
