Job summary

Buzzi Unicem USA is seeking an experienced administrative professional to support the Plant Manager and plant operations in Missouri. The role involves coordinating meetings, preparing reports, and handling visitor and staff communications with discretion and integrity.

The ideal candidate will have 3–5 years in an administrative role and be proficient with Microsoft Office; Kronos experience and HRIS familiarity are a plus to help manage payroll and HR tasks.

Qualifications

  • Must have a high school diploma; an associate degree is preferred.
  • 3–5 years in an administrative role.
  • Proficiency with Excel, Word and Outlook; Kronos experience a plus.
  • Ability to learn HRIS and other software programs.
  • Strong organization and attention to detail.
  • Excellent verbal and written communication; discretion and confidentiality.

Responsibilities

  • Support the Plant Manager with a wide variety of administrative duties.
  • Help prepare agendas, presentations and reports for meetings.
  • Greet visitors and maintain professional communications via phone, email.
  • Handle employee questions on benefits and leave.
  • Schedule plant meetings including room, calendars, and meals.
  • Coordinate payroll backups and Kronos duties weekly.
  • Maintain plant personnel files and KPI visual boards.
  • Assist Regional HR and Health & Safety teams with activities.
  • Arrange travel, seminars, and training for candidates and staff.

Responsibilities
  • Performs a wide variety of administrative duties to assist the Plant Manager in the business operations
  • Assists in the preparation of agendas, presentation and reports of various meetings and plant functions.
  • Greets and assists visitors to the plant. Maintains polite and professional communications via phone, email and mail. Assists in coverage of main phone line.
  • Handles employee questions (benefits, leave of absences, EAP, etc.).
  • Assists with scheduling plant meetings, which can include, but not limited to the following: scheduling meeting space, coordinating schedules, and responsibility for meals being provided.
  • Responsible for community related events, annual Christmas party and annual company picnic.
  • Maintain plant personnel files and other sensitive records.
  • Distributes various daily, weekly, monthly and annual reports.
  • Makes travel, seminar and training arrangements for candidates and plant personnel.
  • Assists in planning events as needed for all activities and sustainability initiatives.
  • Assists plant office staff as necessary to complete daily activities and perform other duties as assigned.
  • Assists with plant personnel with IT setups and requests.
  • Updates visual boards (posters, PowerPoint, etc.) at the plant as needed, including with KPI data provided by managers.
  • Assists the plant with inbound and outbound mail.
  • Assists Regional HR Manager and Health and Safety Manager with various activities.
  • Processes payroll on a back-up basis using Kronos as well performing weekly payroll duties.
Qualifications
  • High school diploma required; Associates degree preferred
  • Three (3) to five (5) years experience in an administrative role
  • Proficiency with various software applications including Microsoft Excel, Word, and Outlook. Experience with Kronos is a plus.
  • Must have ability to learn additional software programs, such as HRIS systems, and others
  • Capacity to work in a multi-tasking, team environment, and interact with internal and external personnel to accomplish goals
  • Excellent organizational skills and attention to detail
  • Excellent verbal and written communication skills with attention to conveying accurate and appropriate information
  • Ability to use good judgment when communicating with employees and customers, and to maintain discretion and confidentiality
  • Office environment; may be required to lift up to 10 pounds
