Summary

The Admin Assistant performs routine clerical and administrative support while learning department procedures, systems, and workflows. Under guidance, this position answers phones, greets visitors, maintains office supplies, completes data entry, and assists with accounts receivable, purchasing, logistics, ERP entries, and service orders.

Duties and Responsibilities

To perform this job successfully an individual must be able to perform the following essential duties satisfactorily. Other duties may be assigned to address business needs and changing business practices.

  • Answers phones, greets visitors, and assists with maintaining office supplies and equipment according to established procedures.
  • Assists with routine accounts receivable processing and past-due invoice tracking under guidance.
  • Processes incoming invoices and escalates billing questions or discrepancies for review.
  • Assists with purchasing, receiving, and maintaining inventory for stock items using established procedures.
  • Provides routine support for inbound and outbound shipments as directed.
  • Learns and provides backup support for job entry, job creation, and BOM entry in the ERP system with guidance.
  • Completes routine data entry for management reports and production use; work is reviewed for accuracy.
  • Assists with service orders and escalates questions or exceptions appropriately.
Qualifications

Minimum Qualifications
  • High school diploma or equivalent.
  • Basic proficiency with computer software applications, including Word, Excel, and Outlook.
  • Ability to work within a team environment.
  • Ability to communicate professionally, both verbally and in writing.
  • Ability to organize routine work and information and complete assigned tasks accurately.
  • Ability to follow detailed oral and written instructions and established procedures.
  • Ability to maintain confidentiality.
Preferred Qualifications
  • Prior experience in a clerical or administrative support role.
  • Experience in a manufacturing environment.
Work Environment and Physical Requirements
Work Environment

The physical environment requires the employee to work in hot and cold environments, in and out of the weather, work safely around heavy equipment and on top of and under railcars, as well as around railroad tracks. Employees are required to use personal protective equipment such as steel toe boots, hard hat, hearing protection, safety glasses, welding and grinding shields, etc. or as environmental conditions dictate.
