Job summary

USAgain is seeking an Administrative Assistant – Government Relations to join our team in West Chicago, IL. This detail-oriented role provides essential administrative, research, and project coordination support to our Government Relations department in a fast-paced environment.

The position offers a hybrid schedule with in-person days for kickoff sessions, while allowing flexible remote work. Responsibilities include supporting the Director of Government Relations, managing permits and zoning

Qualifications

  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree preferred.
  • 1–3 years of administrative or project coordination experience preferred.
  • Experience with permits, zoning research, or municipal processes a plus.

Responsibilities

  • Provide day-to-day administrative support to the Director of Government Relations, including scheduling, correspondence, and department communications.
  • Research zoning ordinances, municipal codes, land use regulations, and local requirements across multiple jurisdictions.
  • Assist with preparation, completion, and submission of permit applications, registrations, and documentation for municipal, county, and state agencies.
  • Track permit renewals, application progress, deadlines, and follow-up requirements.
  • Develop and maintain site maps, location diagrams, and supporting materials for permit applications and zoning submissions.
  • Coordinate with internal departments to gather required information for applications and filings.
  • Maintain organized department records, permits, and regulatory documentation in company systems.
  • Prepare presentations, reports, and meeting materials as needed.
  • Log and maintain government relations and permitting information in CMS and company systems.

About the Role:

USAgain is looking for a detail-oriented and organized Administrative Assistant – Government Relations to join our team. This role provides essential administrative, research, and project coordination support to our Government Relations department. Annual Salary:

$50,000

Hybrid with purpose:

A full-time hybrid role offering flexible remote work with required, scheduled in-person days for project kickoffs, white-boarding, and team connection, so we stay aligned, learn, and build together.

Primary responsibilities:
  • Provide day-to-day administrative support to the Director of Government Relations, including scheduling, correspondence, and department communications

Requirements
Education:
  • High school diploma or equivalent required
  • Associate's or Bachelor's degree preferred
Experience:
  • 1–3 years of administrative, office support, permitting, regulatory, municipal, planning, legal, real estate, or project coordination experience preferred
  • Experience researching, organizing, or processing documentation in administrative or office environments is preferred
  • Experience with permit applications, zoning research, mapping tools, or municipal processes a plus — but not required
  • Equivalent experience or demonstrated aptitude will be considered
Skills:
  • Strong organizational, research, and documentation skills
  • Exceptional attention to detail with the ability to manage multiple priorities
  • Ability to research and interpret municipal codes, zoning information, and agency requirements
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • Ability to prioritize tasks, meet deadlines, and work independently
