SCOPE OF RESPONSIBILITIES:

The Administrative Assistant for Development at Southside Christian School (SCS) is a full-time, 12-month position reporting to the Executive Director of Development. This role provides essential administrative, operational, and donor support to the Development Office and serves as a key resource to the Executive Director of Development, Director of Annual Fund, Director of Strategic Sponsorships, and other development initiatives.

The Administrative Assistant supports the efficient day-to-day operations of the Development Office through donor database management, gift processing, event coordination, stewardship activities, constituent communications, and general office administration.

As a collaborative member of the Development team, the Administrative Assistant supports fundraising initiatives, donor engagement efforts, special events, and departmental projects while maintaining accurate records and providing responsive, professional service to donors, parents, alumni, grandparents, and other constituents.

GENERAL RESPONSIBILITIES/KEY RESPONSIBILITIES:
  • Administrative and Office Support: Provide administrative support to the Executive Director of Development, Director of Annual Fund, and Director of Strategic Sponsorships. Coordinate calendars, meetings, department logistics, office supplies, files, and records.
  • Donor Database & Gift Administration/Raisers Edge NXT Management: Serve as the primary administrator for Raiser's Edge NXT, ensuring the integrity and accuracy of constituent, gift, pledge, opportunity, and sponsorship data. Process gifts, maintain donor records, support database configuration, create and manage opportunities, produce reports, and continually improve data quality and fundraising processes.
  • Donor Stewardship: Coordinate gift acknowledgments, donor correspondence, and stewardship activities that support meaningful donor engagement.
  • Fundraising Support: Assist with annual fund initiatives, fundraising campaigns, sponsorship tracking, research, and communications.
  • Events Support: Assist with planning and execution of donor, stewardship, and fundraising events, including registrations, materials, logistics, and follow-up activities.
  • Department Operations: Organize and maintain development resources, records, and procedures. Assist with special projects and strategic initiatives as assigned.
  • Team Collaboration: Work collaboratively with development team members and other school departments to support fundraising and constituent engagement efforts.
  • Other Duties: Collaborate with the Director of Development and other development team members to align annual giving with overall fundraising goals.
  • School Representation: Serve as a representative of SCS at various on- and off-campus events to cultivate donor relationships.
  • Other Duties: Perform other duties as assigned by the Executive Director of Development.
QUALIFIED APPLICANTS/REQUIRED EXPERIENCE:
  • Must be a born-again believer in Jesus Christ; be involved with an evangelical, protestant church of like faith and practice; and agree with the philosophies, Mission, Vision, Values, Biblical Beliefs, Statement of Faith of Southside Christian School and Statement of Christian Life Commitment of Southside Christian School.
  • Must be willing to enroll eligible children at Southside Christian School.
  • Strong interpersonal, written, and verbal communication skills.
  • Ability to manage multiple priorities and maintain confidentiality.
  • Proficiency with Microsoft Office and database systems; experience with Raiser's Edge preferred.
  • Associate's degree, bachelor's degree, or equivalent professional experience preferred.
  • A firm commitment to the mission and statement of faith of Southside Christian School.
PHYSICAL REQUIREMENTS:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
