Job summary

Loews Hotels & Co is seeking an organized and resourceful Administrative Assistant in a fast-paced hospitality setting, serving as the backbone of operational success for the Food & Beverage team. You will manage communications, calendars, and records, ensuring precise coordination and smooth daily activities.

You’ll contribute to guest experiences by keeping schedules tight, maintaining reports, and supporting purchasing and vendor contacts.

Qualifications

  • 1–2 years of experience in hospitality or administrative roles, preferably in food and beverage operations.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with POS systems.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work flexible schedule to include weekends and holidays.

Responsibilities

  • Be the hub of communication: greet visitors, manage calls, and ensure messages reach the right people promptly
  • Master the calendar: coordinate and maintain the Director’s schedule, keeping commitments organized and on time
  • Own the details: prepare reports, manage correspondence, and maintain accurate records for payroll, training, and vendor contacts
  • Keep operations flowing: organize departmental files, track inventory, and support purchasing needs
  • Drive team success: assist with meeting planning, special projects, and cross-functional collaboration to keep the Food & Beverage division running at its best
  • Champion excellence: promote teamwork, uphold safety standards, and maintain a polished, professional work environment
  • Regular attendance in conformance with standards
  • May be required to work varying schedules to reflect business needs
  • Required to attend all mandatory training sessions and meetings
  • Perform other duties as assigned
