A leading institution is seeking a dedicated Administrative Assistant to support its school program. This role includes a variety of clerical tasks such as managing schedules, maintaining the Kronos payroll system, and providing exceptional assistance to staff and visitors. Ideal candidates will have a high school diploma and strong organizational skills to better support the administrative functions of the institution.
Overview
The Administrative Assistant will support the school program by providing a variety of routine office, clerical, and administrative tasks. This position will follow procedures to maintain the Kronos staff payroll system. This staff member will relay information, assist with outgoing correspondence, reserve meeting spaces, and maintain email groups and schedules. The incumbent will also order and organize supplies, maintain documentation, assist with audits, and manage the timekeeping efforts as needed.
Responsibilities
Greet parents, students, visitors, and staff; maintain visitor arrival and departure documentation; answer the telephone; screen calls; take messages; and relay information within scope of authority.
Assist with drafting, typing, editing, and proofing a variety of materials (e.g., internal and external correspondence, memos, reports, etc.).
Perform mail merges; make copies; send emails/ faxes; collate and assemble materials, and maintain an effective filing system.
Regularly receive and distribute mail and packages within Kennedy Krieger Schools, via Kennedy Krieger Institute interoffice mail, U.S. mail, and others delivery services.
Maintain schedules for conference rooms, shared spaces, and meeting appointments.
Order and organize supplies and equipment; process work requests; report facility, security, and compliance related issues. Maintain logs and related documentation.
Support the transportation staff by creating and disseminating various notices to the appropriate audiences (i.e., Student late arrival, early dismissal, out-of-school, bus suspensions, hall passes, those requiring lunch due to their late arrival on Wednesdays to the cafeteria staff), and will use the defined systems to communicate transportation information to classrooms and critical staff.
Maintain the Maryland State Department of Education (MSDE) documentation (i.e., staff on leave logs, Substitute Teacher logs, and 1:1 substitute logs).
Maintain the Kronos staff payroll system in an accurate and timely manner. Send daily e-mail of staff who are out or late. Keep and maintain files of all timekeeping-related documents including Schedule Modification Forms and submitted medical documentation.
Qualifications
EDUCATION:
High School diploma or GED is required.
EXPERIENCE:
No previous related work experience is required; however, secretarial or professional office experience is preferred.

USD $37,132.78/Yr.
Maximum pay range
USD $60,215.17/Yr.
