Job description

Department: Maintenance FLSA/Classification: Non-Exempt/Hourly (Full-Time) Pay Rate: $18.00 - 20.00/hr DOE Shift: 1st - 7:00 am - 4:00 pm Location: Wesley Willows Campus - Rockford, IL

Summary:

The Administrative Assistant is responsible for coordinating and implementing all administrative functions for the maintenance department.

Essential Duties and Responsibilities include, but are not limited to:

  • Plan, develop, organize, implement, evaluate, and direct all maintenance activities.
  • Answer phones promptly, take clear and concise messages and forward messages as appropriate.
  • Maintains positive resident relations program; handles all resident concerns promptly.
  • Coordinates departmental activities through effective communications with departmental heads and staff. Implement departmental policies and procedures as required.
  • Compile departmental data and complete departmental reports.
  • Maintain accurate record keeping systems and assure computer security and back-up.
  • Inventories and orders preventative maintenance and general supplies. Accurately receives and records deliveries.
  • Schedules and assists with required annual training including Fire Safety, Hazard Communication, and Lock-Out/Tag-Out.
  • Assists with departmental orientation for new employees.
  • Communicates with outside contractors as needed for department needs.
  • Maintains a safe and productive work environment.
  • Completes all special assignments/projects as required by the Director of Facilities and Grounds.

Minimum Education/Skills/Experience/Credentials:

  • High school graduate or equivalent; 2-year college, preferred.
  • A minimum of one year of administrative/clerk experience, with heavy work order processing experience, is required. Two-plus years preferred.
  • Computer literacy required.
  • Good interpersonal relations with proven communication skills, both verbal and written.
  • Ability to interface with residents, family members, and employees.
  • Must have a valid driver’s license with a clean MVR (moving vehicle record).

Working Conditions:

  • Regular on-site physical presence is required.
  • Reliable, predictable, and punctual attendance is required to provide timely service to internal and external customers and to support uninterrupted business operations and continuous services.

Physical Requirements:

  • Must be able to sit for 6-7 hours during an 8-hour shift.
  • Must be able to stand and walk for 1-2 hours during an 8-hour shift.
  • Must be able to frequently lift 10 to 25 pounds while walking or bending at the waist and knees.
  • Must be able to use wrists, fingers, and hands for operating a computer, utilizing a telephone, writing, and grasping.

Other regulated requirements:

  • Must be willing to undergo a pre-employment background check, including (MVR) moving vehicle records.
  • Must be willing to undergo pre-employment drug screening.
  • Must be willing to undergo biometric screening.
