Requirements include a High School Diploma or GED; coursework in office procedures. Strong typing, interpersonal skills, medical terminology, and basic knowledge of spreadsheets, presentation software, and database programs are needed.

Qualifications

  • Courses in office procedures or equivalent required.
  • Special Knowledge, Skills, Training: Interpersonal, typing skills and medical terminology.
  • Knowledge in the use of spreadsheets and presentation programs.
  • Knowledge in the use of database programs.
  • Ability to read, write and do math as generally demonstrated by a high school diploma or GED.

Responsibilities

  • Answers, screens, and transfers inbound phone calls.
  • Receives and directs visitors, patients, and staff.
  • Performs general clerical duties including photocopying, fax, and mailing.
  • Maintains electronic and hard copy filing systems.
  • Prepares and modifies documents including correspondence, reports, drafts, memos, and emails.
  • Schedules and coordinates meetings and appointments.
  • Prepares agendas for meetings and record, compile, transcribe and distribute minutes of meetings.
  • Opens, sorts, and distributes incoming correspondence.

In an environment of continuous quality improvement, the Administrative Assistant is responsible for performing all levels of departmental administrative support including but not limited to copying, phone/reception, mail handling, filing, scheduling meetings, coordinating activities and general typing.
