What you’ll be doing
- Perform routine word processing tasks to produce reports, correspondence, memoranda, standard office forms and facsimiles using existing templates.
- Maintain non‑complex filing and record systems; assist in document reproduction (photocopying, collating, etc.).
- Perform routine data entry tasks using organizational software and other online systems.
- Greet and receive visitors, answer phone calls, take messages, respond to routine questions, gather or relay standard or straightforward information.
- Receive, sort, distribute and process facsimile transmissions, mail and courier packages.
- Maintain appropriate levels of standard office supplies as directed.
- Arrange office equipment and room bookings; perform general catering duties including preparing meeting rooms, supplying refreshments, and cleaning afterwards.
- Maintain tidy work areas.
- Potentially provide similar clerical support to other departments or float to other areas as required.
Program‑related duties
- Use advanced proficiency in developing and editing Word, PDF, and Excel templates and presentation materials, including PowerPoint, Visio, and other graphic applications.
- Organize and coordinate materials for meetings, prepare agendas, record minutes, and track completion of action items.
- Support the coordination, scheduling and delivery of meetings and events on virtual platforms such as WebEx or Teams; troubleshoot routine technical issues.
- Support the development and maintenance of processes and tracking for program review activities (records of education program review motions, decisions, committee expenses, etc.).
- Review, organize, and manage confidential documents with accuracy and discretion.
- Maintain and regularly update all EPR‑related tracking documents with high accuracy and attention to detail.
- Assist education programs in submitting program review materials via SharePoint in the specified format; support SharePoint file transfer processes.
- Coordinate and support engagement with NCSBN to facilitate good standing checks for exam development.
- Process and reconcile financial reports such as expense reports, Visa statements, and invoices.
Education, qualifications & skills
- At least four years of related experience.
- High school diploma and business college certificate or equivalent.
- Advanced skills in standard office software applications, especially Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Visio).
- Ability to learn new software programs and stay familiar with upgrades at an advanced level.
- Typing speed of at least 60 words per minute.
- Initiative and independent judgment with minimal supervision.
- Ability to organize and prioritize own work with minimal supervision.
- Effective communication, collaboration, and customer service skills.
- Skill in handling registrants, members of the public, and staff efficiently.
- Adherence to policies, procedures, practices, and directions related to job duties.
- Confidentiality and discretion when handling sensitive information.
