Position Title
Administrative Assistant4 – Parking and Transportation Services Department (Front Office Manager)
Location & Schedule
Reno, Nevada (Campus – onsite)
Monday through Friday, 8:00am to 4:30pm (Full‑time, Permanent, Essential Personnel)
Responsibilities / Duties
- Manage front office staff: hiring, feedback, performance evaluations, training, time‑off requests, task assignments, and backup support.
- Oversee daily front office operations: cash drawer balancing, deposits, discrepancy resolution, annual permit purchase coordination, permit configuration, eligibility verification, and permit distribution.
- Address customer concerns, complaints, and escalated issues promptly and professionally.
- Manage all high‑level front office financial transactions: citation void requests, payment error investigation through web service payment gateway, online duplicate payment review, P‑card reconciliation for two department credit cards.
- Coordinate and oversee citation collections, including processing monthly citation notifications by email and mail.
- Process payroll deduction permit cancellations, exchanges, refunds; review delinquent payments; coordinate employee departure and parking permit return.
- Monitor campus parking inventory as permit inventory manager: annual permit inventory review, updates to zone‑specific data reports, allocation of parking permits for purchase, drafting of annual reserved space invoices, monitoring of permit sales, provision of data to Administration, and update of published campus maps (ADA, Service Vehicles, Bicycles, Shuttle, and Zone maps). Work with diverse campus partners to provide sound parking solutions.
- Maintain the internal Campus Sign Map with accurate inventory and reserved signage updates.
- Coordinate with Field Supervisor on construction projects and with Special Event Coordinator on event parking.
- Maintain calendars, coordinate training events, prepare meeting minutes and notes, and handle internal/external customer service issues.
- Act as Secretary of the Parking and Traffic Board, oversee board communications, appointment scheduling, minutes, and liaison with citation appellants.
Essential Qualifications
- High school diploma or equivalent.
- Four (4) years of progressively responsible relevant work experience, including at least one area of: administrative/program support for professional staff and management; secretarial duties for a manager; coordinating communications among manager, staff, and program clientele; supervising subordinate staff; researching internal and external information.
- Alternatively: one (1) year of experience as an Administrative Assistant III in Nevada State service; or an equivalent combination of education and experience.
- Valid Class "C" driver’s license (or higher) required at appointment and for continued employment.
Preferred Qualifications
- Strong supervisory skills and experience in customer service.
- Excellent written and verbal communication skills.
- Detail‑oriented, organized, efficient, reliable, and ability to follow directions.
- Experience handling and maintaining confidential information and communications.
- Proficiency in Microsoft Office Suite.
Physical Demands
- Weekly meter money count: lift coin bags up to 25lbs; lift up to 20lbs occasionally; up to 10lbs of force frequently; minimal force constantly; walking/standing significant degree; pushing/pulling.
- Ability to see, hear, and communicate verbally.
Compensation & Benefits
Grade: 29. Salary placement above Step01 at initial appointment. Salary schedule: Non‑CBA PP01 or PP02. Salary calculator available at the general compensation site. Classified Permanent employee.
