The Pit Technologies Division (PT) is seeking administrative support for a wide variety of generalized office-related activities. Specific duties may include but are not necessarily limited to tracking and conveying messages; tracking and disseminating internal and external correspondence; maintaining electronic files; coordinating calendars, schedules, meeting logistics, and travel arrangements; ordering supplies; training of other administrative staff and serving as a resource for staff regarding established administrative policies and procedures.
This position is responsible for ensuring safety and security compliance by maintaining required training and integrating safety and security into all tasks, including stopping work when necessary. The role performs a wide range of administrative and office functions requiring judgment and discretion, including preparing correspondence, reports, and forms with limited supervision. Responsibilities include managing and prioritizing communications, maintaining electronic and hard copy filing systems, coordinating calendars, meetings, and logistics, and arranging domestic and international travel and reimbursements. The position may serve as a timekeeper, handle sensitive or classified information, escort visitors, and take on roles such as procurement representative or key custodian. Additionally, the role serves as a point of contact and resource for staff and external partners, supports administrative processes and procedures, ensures compliance with Laboratory and regulatory requirements, and delivers high-quality work products.
Advanced experience with software such as Microsoft Excel, PowerPoint, and SharePoint.
Extensive knowledge and experience using Concur, Ariba, managing Dosimetry, and managing Badge Requests.
Demonstrated ability to organize, prioritize, and follow-through to completion on multiple tasks, often under strict deadlines.
Experience performing administrative/office support functions with independent judgment
Position requires a High School Diploma and 3 years related experience; or an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.
The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.
