About the Department

The Department of Otolaryngology-Head and Neck Surgery at the Medical College of Georgia treats adults and children with ear, nose, and throat disorders, with emphasis on thyroid and parathyroid surgery, head & neck cancer, neck masses, endoscopic sinus surgery, otology, cochlear implants, plastic surgery, sleep surgery, skull base surgery, voice disorders, adult dysphagia, and complex airway reconstruction. The faculty are devoted to education and development of outstanding clinicians, and the department supports more than 40 ongoing studies and over 140 publications in the last five years.

Job Summary

The Administrative Assistant 2 serves as the primary administrative support to the Chair, manages department processes and schedules, acts as Associate Editor for the department newsletters, and oversees the departmental purchase card.

Responsibilities
  • Serve as Administrative Assistant to the Chair: scheduling meetings, maintaining the calendar and CV, updating PACT, completing travel paperwork and logistics, preparing teaching materials, transcribing correspondence, assisting with hospital credentialing and licensing, compiling and distributing meeting agendas and minutes, coordinating patient liaison and logistics for all department functions including CME Symposia and strategic planning conferences.
  • Coordinate faculty and staff processes: Faculty Promotion and Tenure process, Faculty/Fellow recruitment, advertising calendar, orientation for new faculty, fellows and staff, approving exempt staff leave, maintaining travel and leave sheets, and distributing Faculty/Fellow Away Dates memoranda.
  • Maintain department files, process UPS deliveries, update and distribute clinical schedules.
  • Compile newsworthy information and publish the semi-annual department newsletters and annual state of the department address.
  • Obtain and manage the department P‑card and conduct appropriate reporting, and assist the Business Manager and Administrator as needed.
Required Qualifications
  • Associate's degree from an accredited college or university in a related field and a minimum of four years of progressively responsible administrative support experience.
  • Or, high school diploma/GED and seven years of progressively responsible administrative support experience.
Preferred Qualifications
  • Experience in an academic medical or surgical setting.
Knowledge, Skills & Abilities
  • Proficient in Microsoft Office and other computer software/databases.
  • Medical terminology and transcription.
  • Detail oriented.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong organizational and customer service skills.
  • Ability to maintain confidentiality.
  • Ability to coordinate multiple concurrent projects and tasks and adhere to deadlines.
Shift, Salary & Benefits
  • Shift: Days, Monday – Friday.
  • Salary: $17.88 – $21.92 hourly (range B5). Salary to be commensurate with qualifications within the established range.
  • Pay Band: B5.
  • Recruitment Period: Until Filled.
  • Benefits (full‑time eligible): health, dental, and life insurance; Teachers Retirement System or Optional Retirement Plan; earned vacation time, sick leave, and 13 paid holidays; tuition assistance after 6 months of employment.
