Qualifications

  • Permanent appointment: Reachable on the Department of Civil Service Eligible list for Administrative Assistant 2 (formerly Secretary 2) OR permanent or contingent permanent status as an Administrative Assistant 2 OR eligible to transfer.
  • Provisional appointment: Current NYS employee with one year of permanent service in a following title, may be appointed on a provisional basis: Examin­ation Composition Assistant; Keyboard Specialist titles; Law Department Document Specialist; Office Assistant 2 Keyboarding; Secretary/Administrative Assistant titles; Senior Data Entry Machine Operator.
  • Note: Provisional appointments are made pending an exam and will be revoked if the selected candidate is not immediately reachable on the eligible list resulting from the next holding of the exam.

Responsibilities

  • Prepares briefs and memoranda of law for filing; formats briefs and memoranda, including page numbers, tables of contents and authorities; cite checking and proofreading.
  • Processes responses to federal habeas petitions; scans records; determines filing requirements; prepares cases for filing under seal when appropriate.
  • Reviews incoming mail; logs mail into NY Matters; enters due dates; directs mail to appropriate recipient; evaluates actions.
  • Maintains correct court deadlines and dates in NY Matters; reminds staff of upcoming dates; compiles monthly reports of filings.
  • Prepares letters to courts and District Attorneys’ Offices; opens new cases and forwards assignments to staff.
  • Answers bureau telephone; serves as liaison to service providers and vendors; reserves conference rooms.
  • Proofreads drafts, assembles records, transmits exhibits; produces filings in form and quantity required by rules; tracks delivery and deadlines.

SALARY: CSEA, SG-15 ($58,046-$70,317) PLUS LOCATION PAY $3,400

Overview

We are seeking talented and motivated support staff to work with our attorneys in the State’s law firm. The selected candidate will be part of a fast‑paced office, gaining experience while providing public service on behalf of the State of New York. The Attorney General serves the public interest of all New Yorkers in matters affecting their daily lives, enforcing laws to protect consumers, tenants, patients, workers, investors, and charitable donors. The office coordinates statewide civil and criminal investigations, promoting economic and social justice, encouraging harm‑reducing public health strategies, and preserving the state’s environment.

Minimum Qualifications

Duties
  • Prepares briefs and memoranda of law for filing; formats briefs and memoranda, including page numbers, preparing tables of contents, tables of authorities when appropriate, cite checking and proofreading.
  • Processes responses to federal habeas petitions: accurately scans voluminous state court records; determines proper federal district court filing requirements; prepares cases for filing under seal when appropriate; Bates stamps or redacts records accurately.
  • Timely reviews incoming mail; logs mail into NY Matters and other databases accurately; enters accurate due dates or adjourned dates; directs mail to appropriate recipient; exercises sound judgement in evaluating incoming mail to determine appropriate action.
  • Conscientiously maintains correct and up‑to‑date court deadlines and court appearance dates in NY Matters; reminds AAGs each week of upcoming due dates and court dates; logs any adjournments or new deadlines for inclusion in the following week's reports; compiles monthly reports of legal filings by the AAGs, including the number of habeas petitions and appellate briefs filed.
  • Prepares letters to courts and District Attorneys’ Offices for signature.
  • Opens new cases in NY Matters, prepares case assignment sheets, and forwards new cases and assignment sheets to the appropriate staff.
  • Answers bureau telephone and directs calls accordingly.
  • Serves as liaison to service providers and vendors (i.e., Xerox) and to OAG Administration for service and supply needs; reserves conference rooms.
  • Assists with promptly and accurately proofreads drafts, prepares tables of contents and authorities, and checks citations using appropriate software; assembles record on appeal/appendix; transmits exhibits to court when necessary; produces filings in form and quantities required by court rules; checks documents to be filed for legibility, completeness, and accuracy; arranges for filings to be made in timely fashion; tracks delivery of filings as appropriate.
