The American Academy of Ophthalmology (AAO), the world’s largest association of eye physicians and surgeons, is seeking an Administrative Assistant to support our Membership & Alliances Division. This role provides comprehensive administrative and operational support to the Vice President of Membership and Alliances and division managers. You’ll be the backbone of the division, coordinating communications, tracking budgets, supporting member programs, and managing meeting logistics—including AAO’s Annual Meeting.

Key Responsibilities
  • Provide day-to-day administrative support to the Vice President and division leadership.
  • Coordinate meetings, travel, office supplies, and division communications.
  • Support logistics for annual and committee meetings, events, and strategic initiatives.
  • Assist with data management, tracking division metrics, and maintaining member records.
  • Support member engagement efforts through recruitment, retention, and onboarding communications.
Qualifications
  • 2+ years administrative experience supporting executive and director level leadership in a professional environment.
  • College coursework or post-secondary training required; bachelor’s degree preferred.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite and virtual meeting platforms (Zoom, Teams).
  • Experience with membership databases or association management systems a plus.
  • Ability to take proactive initiative, manage multiple projects, meet deadlines, and handle confidential information with discretion.
Compensation

Salary range for this position is $72,000 - $85,000 with excellent benefits.
