We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to provide executive-level administrative support in a fast-paced corporate environment. This role is ideal for someone who excels at managing multiple priorities, communicating effectively across teams, and ensuring day-to-day operations run smoothly.
Key Responsibilities
- Manage executive signature approval workflows, ensuring timely routing and completion of documents.
- Coordinate purchase order approvals and other financial approval processes while maintaining accuracy and following up with stakeholders as needed.
- Support leadership and operations meetings by scheduling sessions, preparing meeting materials, documenting meeting minutes, tracking action items, and following up to ensure timely completion.
- Coordinate domestic and international business travel, including itineraries, reservations, logistics, and travel support.
- Manage executive calendars by scheduling meetings, prioritizing requests, resolving scheduling conflicts, and coordinating across multiple time zones.
- Provide general administrative support, including organizing documents, maintaining records, and assisting with special projects.
- Build and maintain strong working relationships with cross-functional teams to facilitate communication and support efficient business operations.
- This role will interface with Finance and Human Resources. Also, will be supporting 3 Executives.
Qualifications
- High school diploma or equivalent required.
- Previous experience providing administrative support to senior leaders or executives in a corporate environment.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Experience with Expense reporting.
- Experience with CRM tools, web applications.
- Complex Calendaring (Domestic & International Travel) experience.
- Experience coordinating meetings, travel arrangements, and business approval processes.
- Excellent organizational, multitasking, and time management skills.
- Experience working with contract approvals and getting signatures.
- SOW's coordination for approvals.
- Experience attending staff meetings and capturing notes.
- Strong written and verbal communication abilities.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Self-motivated, resourceful, and able to work independently with minimal supervision.
Pay Transparency
- This is the pay range that Magnit reasonably expects to pay someone for this position is $30.00/hour - $30.00/hour W-2.
