Job Description

The assistant will screen calls and visitors, resolve routine inquiries, and maintain a calendar of appointments, meetings, and travel arrangements. The work environment is fast-paced and moderately complex, providing a dynamic and engaging workplace.

Job Description

The Administrative Assistant V is responsible for performing moderately complex and confidential administrative duties. This role requires significant skill and knowledge of organizational policies and procedures. The assistant will screen calls and visitors, resolve routine inquiries, and maintain a calendar of appointments, meetings, and travel arrangements. The work environment is fast-paced and moderately complex, providing a dynamic and engaging workplace.

Responsibilities

  • Perform moderately complex and confidential administrative duties with considerable skill and knowledge of organization policies and procedures.
  • Screen calls and visitors, resolving routine and sometimes complex inquiries.
  • Schedule and maintain calendar of appointments, meetings, and travel arrangements.
  • Exercise moderate autonomy in troubleshooting issues and anticipate the needs of the person supported.
  • Conduct administrative assignments related to meeting, seminar, workshop, and/or conference planning, including material production, scheduling, logistical arrangements, and liaising with participants, speakers, and vendors.
  • Assist with special projects across multiple teams, including workstream participation.
  • Conduct research for leaders or individual contributors, compile, analyze, and summarize information for reports and correspondence.
  • Compile, review, and analyze complex data, keeping databases and share sites up to date.
  • Coordinate executive meetings, including logistics, material collection, agenda creation, and minute recording.
  • Assist in preparing correspondence, memoranda, and reports; copy and file documents, and process documentation of expenses and vouchers.

Essential Skills

  • 3+ years administrative experience
  • Proficiency in Microsoft Office, including Outlook and Microsoft Teams
  • Strong calendar management skills

Work Environment

The work environment includes the first three weeks of training on-site, Monday through Friday. After training, the role transitions to a hybrid model, with three days in the office and two days remote. This offers flexibility and a balance between collaborative in-office work and focused remote tasks.

Pay and Benefits

The pay range for this position is $35.00 - $38.00/hr.
