Job summary

Forensic Analytical Consulting Services, Inc. seeks a part-time Administrative Assistant to maintain office operations and serve as the first point of contact for clients. The role is 24 hours per week, typically 3–4 days with 4–6 hours daily, based in Modesto, CA.

You will support office administration, HR tasks, and event coordination, while collaborating with leadership and IT. Strong organization, communication, and client-facing skills are essential.

Qualifications

  • 2–3 years of relevant administrative experience.
  • Strong professional verbal and written communication skills.
  • Comfortable working with clients and coworkers across all levels.
  • Highly organized, self-directed, and able to manage time with minimal supervision.
  • Knowledge of basic office functions; including phone etiquette, faxing/copying etc. Must be computer literate with the ability to learn new programs easily.

Responsibilities

  • Office & Project Administration: order supplies, set up client accounts, schedule projects, maintain files, answer calls, handle mail and logistics.
  • HR & Staff Support: assist with onboarding, travel bookings, expense tracking, insurance coordination, customer service follow-ups.
  • Events & Office Culture: plan office celebrations and recognition events.
  • General Support: assist Local Director and IT, support staff presentations and materials.

Primary Function:

The Administrative Assistant will be responsible for the overall maintenance of the office performing all administrative duties as well as be the first person of contact for clients.
This is a part-time, 24-hour-per-week position, with a typical schedule of 3–4 days per week and 4–6 hours per day.

Primary Responsibilities
Office & Project Administration
  • Order supplies/equipment for office and field; coordinate printer/copier repairs
  • Set up and maintain client accounts, verifying billing and contact accuracy
  • Review project intake forms; schedule new projects and update staff/calendars
  • Distribute purchase orders and maintain digital project files with all correspondence
  • Answer and log incoming calls; participate in assigned call queue coverage
  • Handle mail/shipping (USPS, FedEx, UPS), subpoenas/depositions, and litigation file close-outs
  • Facilities & Logistics
  • Keep office, storage, and warehouse areas clean, organized, and labeled
  • Coordinate recycling pick-up and field vehicle maintenance
  • Supply pick-up/drop-off at the lab
HR & Staff Support
  • Track employee certifications, training, and medical evaluations
  • Assist with new hire onboarding and basic task training
  • Book employee travel/hotel reservations; track and submit expense reports weekly
  • Coordinate with insurance provider on certificate requests
  • Assist accounting with weekly customer service calls/emails
Events & Office Culture
  • Plan office celebrations (birthdays, holidays, milestones, BBQs, recognition events)
General Support
  • Assist Local Director and IT as needed
  • Support staff presentations/courses (copies, packets, supplies, room setup)
Qualifications

Qualifications
Physical & Work Requirements
  • Ability to lift up to 30pounds.
  • Prolonged periods of sitting at a desk and working on a computer for documentation and reporting
  • Valid driver’s license, reliable transportation, and current auto insurance
