Job description

Location: Indiana - Remote

Hours: Part-time - Hourly (20-30 hrs per week, variable)

Position: Administrative Assistant

Coalition of Advanced Practice Registered Nurses of Indiana (CAPNI) is a nonprofit member organization dedicated to advancing the role and impact of Advanced Practice Registered Nurses (APRNs) through advocacy, education, and professional development. We serve as a hub for leadership, innovation, and community among Indiana’s APRN professionals.

We are seeking an Administrative Assistant to support our nonprofit’s daily operations. The ideal candidate will be detail-oriented and capable of managing a range of administrative tasks, with strengths in bookkeeping, digital communication, and event coordination.

Responsibilities:

  1. Provide administrative support to executive leadership, board of directors, committees, and members
  2. Maintain and manage organizational finances
  3. Update and maintain the organization’s website content and functionality
  4. Manage social media accounts, including content scheduling and engagement
  5. Coordinate logistics for conferences and events, both virtual and in-person
  6. Schedule meetings, manage calendars, and prepare documents for meetings
  7. Maintain accurate digital records and membership databases
  8. Respond to inquiries and correspondence in a timely and professional manner
  9. Perform general office duties and other tasks as assigned
  10. Attend all board meetings and conferences, which may involve in-state travel and overnight stays

Qualifications:

  1. Associate’s degree or equivalent work experience preferred
  2. Administrative experience, preferably in a nonprofit or member-driven organization
  3. Proficiency in QuickBooks and general bookkeeping
  4. Experience with email and website management systems
  5. Knowledge of social media platforms (Facebook, LinkedIn, Instagram) and scheduling tools
  6. Strong organizational and communication skills
  7. Proficiency in Microsoft Office Suite and cloud-based collaboration tools (Google Workspace, Zoom, Survey Monkey)
  8. Experience planning and coordinating professional conferences or large events
  9. Knowledge of the accreditation process for continuing education programs is a plus
  10. Familiarity with the role of advanced practice registered nursing or the healthcare industry is preferred
