Responsibilities

  • Provide administrative support to the Gulf Coast Community Design Studio.
  • Coordinate the administrative function of the division.
  • Manage complex events calendar and logistics for unit functions.
  • Prepare budget and inventory reports.
  • Assist in human resource operations.
  • Manages complex events calendar for the unit and coordinates logistics.
  • Coordinates purchases, payments and contracts; liaises with the college finance office.
  • Gathers, prepares and manages information for grant applications and projects; coordinates with related offices.
  • Assists in creating reports and other written deliverables for projects and promotion.
  • Assists HR operations and participates in interviewing hiring candidates.
  • Tracks equipment inventory with the University.
  • All other duties as assigned.

Job description

Gulf Coast Community Design Studio is looking for an experienced Administrative Assistant with a desire to work in a coastal environment supporting the studio’s community resilience practice. This position will provide administrative support in and coordinate the administrative function of a large and complex division, department or unit. If you are highly organized with excellent communication skills, good at working independently to support a team, and enjoy an open office environment, this may be the place for you.

Required Skills
  • Directs, supervises, and coordinates the administrative functions of GCCDS.
  • Studies, analyzes, and recommends procedures and processes to improve continuity and increase productivity.
  • Analyzes operating practices such as record keeping systems, office layout and performance standards to create new systems or revise established procedures; remain abreast of trends in administrative operations.
  • Develops, plans, and implements programs, office policies, and procedures relevant to unit mission and goals.
  • Gathers data for budget preparation and inventory reports, prepares or assists in the preparation of the annual budget, and procures all supplies, furniture, and office equipment.
  • Manages complex events calendar for unit; coordinates the logistics of unit functions and events.
  • Manages the purchases, payments and contracts for the operation of the GCCDS and the Mitchell Building; coordinates with the college financial office.
  • Gathers, prepares and manages information for grant applications and sponsored projects development and serves as primary administrative point of contact and coordination between the GCCDS, the College of Architecture, Art and Design, the Office of Sponsored Projects and Sponsored Programs Accounting.
  • Assists in the creation and production of reports and other written deliverables related to the projects and the general promotion of the GCCDS.
  • Assists and coordinates the human resource operations of the GCCDS and participates in the interview and evaluation of hiring candidates.
  • Tracks and manages equipment on inventory with the University.
  • All other duties as assigned.

The Gulf Coast Community Design Studio is an off-campus research and professional service program of Mississippi State University located in Gulfport, Mississippi. Since its establishment following Hurricane Katrina the Design Studio has worked with many local and national partners to provide planning, landscape architecture and architecture services to communities and non-profit organizations along the Gulf Coast. The Design Studio’s work has evolved from rebuilding to long-term resiliency and is recognized as a national leader in interdisciplinary Public Interest practice.
