Job summary

Ariel Clinical Services is seeking an Administrative Assistant to provide front desk coverage and essential administrative support. The role supports customers, families, visitors, and staff with a professional, courteous approach.

Work hours are Monday–Friday, 8:00 am to 5:00 pm, full-time, with a hiring range of $16.00–$16.48 per hour. Open until filled, this entry-level position offers opportunities for growth and a comprehensive benefits package.

Qualifications

  • One year of administrative experience preferred.

Responsibilities

  • Greet individuals, provide directions, and escort visitors as appropriate.
  • Safeguard confidentiality of information encountered on the job.
  • Learn to operate office equipment and manage mail and shipments.
  • Maintain records of monies received and file documents appropriately.
  • Provide front desk coverage during lunch breaks and staff absences.

Adminstrative Assisant

One Full -Time Position. 40 hours per week.

Monday through Friday, 8:00 am to 5:00 pm

Hiring Range: $16.00-$16.48/ hr., depending upon education and experience.

This position will remain open until filled.

Position Summary

The Administrative Assistant provides excellent customer service and support to individuals receiving services, foster families, host homes, biological families, visitors, and Ariel employees. This position also provides back-up front desk coverage and assists Admin Program Support staff as needed.

Minimum Requirements

Required:

  • High School graduation or equivalent, minimum age 18.

Preferred:

  • One year of administrative experience in a professional environment.

Requirements
Essential Duties and Responsibilities
  1. Greet individuals receiving services, customers, and employees in person and by phone, provide directions, and escort visitors to their destination when appropriate.
  2. Safeguard the confidentiality of all information obtained or observed while performing job duties.
  3. Learn to use, troubleshoot, and assist others with office equipment; complete the organization’s fax and postal needs. Collecting the mail and distribute daily.
  4. Maintain a record of all monies received by the agency following Standard Operating Procedures.
  5. Maintain files by scanning documents, saving to appropriate driver and various systems, archiving documents as needed.
  6. Maintain workstation, conference rooms, and lobby areas to ensure they are clean and presentable.
  7. Sanitize all high touch areas in the front offices, including chairs and door handles, morning and afternoon.
  8. Provide front desk coverage during lunch breaks, employee absences, and scheduled paid time off.
  9. Support teams, departments, and programs with projects as needed.
  10. Complete assigned opening and closing duties.
  11. Adhere to all front desk safety protocols and procedures.

  1. Must work closely with other Ariel Programs and offices.
  2. Performs other duties as assigned.

Physical Demands
  1. This position requires that the incumbent be capable of bending, sitting, stretching, and/or reaching regularly for periods up to two hours without a break.
  2. This position requires that the incumbent have adequate hand and finger dexterity to properly perform the functions of the position.
  3. This position requires lifting regularly up to 10 pounds and occasionally up to 40 pounds.
  4. This position requires the ability to hear, see, smell, and distinguish temperature, at a level which is adequate to ensure client and staff health and safety. Adaptive devices are acceptable.

  1. Exposure to typical climate-controlled office environment when in the office.
  2. Exposure to blood borne pathogens and infectious disease is possible but limited.
