Job description

The Administrative Assistant provides day-to-day administrative and office support for Skyeton’s Fayetteville manufacturing facility. This position helps keep the workplace organized, responsive, and professional by coordinating schedules, communications, visitors, records, supplies, meetings, and routine support for employees and leaders.

The Administrative Assistant works across Human Resources, EHS, Logistics, Manufacturing, Engineering, Quality, Supply Chain, and executive leadership. Success in this role requires sound judgment, discretion, attention to detail, strong follow-through, and the ability to manage changing priorities in a fast-paced aerospace and defense environment.

What you'll do
  • · Provide administrative support to site leadership and functional teams, including scheduling, correspondence, document preparation, data entry, copying, scanning, filing, and follow-up
  • · Manage shared calendars, coordinate meetings, reserve rooms, prepare agendas and materials, record action items, and support timely completion of follow-up tasks
  • · Serve as a professional first point of contact for employees, candidates, visitors, vendors, delivery personnel, and external partners
  • · Coordinate visitor registration, sign-in, badging, escort notifications, confidentiality requirements, and access procedures in accordance with security and export-control rules
  • · Answer and route phone calls, monitor shared inboxes, distribute mail and packages, and respond or direct routine inquiries promptly
  • · Maintain organized electronic and paper files, shared folders, contact lists, forms, logs, and administrative records using approved naming, access, and retention practices
  • · Handle confidential employee, candidate, business, customer, and export-controlled information with discretion and in accordance with company policy
  • · Support recruiting and onboarding activities, including interview scheduling, candidate communications, orientation materials, new-hire paperwork coordination, badges, supplies, and workspace readiness
  • · Assist with employee events, training sessions, meetings, recognition activities, site communications, and company announcements
  • · Order, receive, inventory, and distribute office supplies, breakroom supplies, uniforms, PPE, and other approved materials within established authorization limits
  • · Prepare purchase requests, track routine orders, reconcile packing slips or receipts, and coordinate with Supply Chain, Logistics, Finance, and vendors as needed
  • · Support travel arrangements, itineraries, conference-room logistics, catering, expense documentation, and related administrative tasks
  • · Maintain office, reception, meeting-room, and common-area organization and report facility, equipment, safety, or service needs promptly
  • · Assist with document formatting, presentations, spreadsheets, reports, rosters, directories, labels, and other business materials
  • · Track recurring administrative deadlines, renewals, meetings, training dates, and requested documentation and provide reminders to responsible owners
  • · Support audits, inspections, and customer or leadership visits by coordinating schedules, rooms, materials, records, and site logistics
  • · Identify opportunities to simplify administrative processes, improve organization, and provide more responsive support to employees and leaders
  • · Perform other duties as assigned
Qualifications
  • · High school diploma or GED
  • · 2+ years of administrative, office, customer-service, reception, or related support experience
  • · Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams
  • · Experience managing calendars, scheduling meetings, preparing documents, maintaining records, and coordinating multiple priorities
  • · Strong written and verbal communication skills with a professional and service-oriented approach
  • · Excellent organization, attention to detail, time management, and follow-through
  • · Ability to exercise discretion and protect confidential or sensitive information
  • · Ability to work independently, use sound judgment, and seek guidance when authority or requirements are unclear
  • · Ability to remain composed and responsive when priorities, schedules, or requests change
  • · Must qualify as a U.S. Person under applicable ITAR/EAR regulations
Preferred Qualifications
  • · Associate or bachelor’s degree in business administration, human resources, communications, or a related field
  • · Administrative experience in aerospace, defense, aviation, manufacturing, engineering, logistics, or another regulated environment
  • · Experience supporting a startup, new facility, rapidly growing organization, or multi-functional site
  • · Experience with HRIS, ERP, purchasing, expense, visitor-management, document-control, or applicant-tracking systems
  • · Experience supporting recruiting, onboarding, employee events, training coordination, or executive calendars
  • · Familiarity with ITAR/EAR, controlled information, visitor security, record retention, or defense-contractor requirements
  • · Intermediate Excel skills, including sorting, filtering, basic formulas, and maintaining accurate tracking logs
  • · Notary public commission or willingness to become a notary, if requested by the company
  • · Professional judgment, discretion, and confidentiality
