Job summary

The Administrative Assistant position in the Juvenile Probation Department within the Judicial Branch of Maricopa County supports high-level administrative duties and coordination of department programs and processes. This role acts as a liaison and requires confidentiality and strong organizational skills.

The Juvenile Probation Department emphasizes evidence-based practice to promote public safety, with opportunities to contribute to projects, manage scheduling, and handle essential documents

Qualifications

  • Education: High School Diploma or GED
  • Experience: Three (3) years of responsible clerical and administrative experience OR Combined Education and Experience
  • Other combinations of post-secondary education and experience may substitute for the minimum qualifications on a year-for-year basis
  • Other Requirements: Valid Arizona Driver license at time of hire

Responsibilities

  • Schedules to ensure proper staffing coverage.
  • Maintains spreadsheets, data entry, and Detention scheduling system.
  • Answers inquiries regarding policy, procedures, and functions of the Detention scheduling and overtime process.
  • File management and retention.
  • Manages emergency contact lists.
  • Maintains staff schedules such as pre-approved vacations, training, medical leave etc.
  • Assist in various detention projects.
  • Manages/inventories stock forms and orders supply.

Pay Range

Pay Range Min - 1st Quartile - Mid - Max $21.25 - $24.56 - $27.88 - $34.50

The expected ENTRY pay range for this position based on experience and equity within the Judicial Branch is $22.87 to $24.56.

This position is Non-Exempt under the FLSA.

Position Qualifications

Knowledge, Skills, and Abilities

Knowledge of: Office practices, procedures and clerical processes. Data processing applications. Skill in: Microsoft office suite, proficiency in Microsoft Excel. Operating various office machines. Typing with minimal errors. Preparing statistical report. Ability to: Efficiently plan, organize and maintain workflow. Establish and maintain effective working relationships. Communicate effectively both orally and in writing. Evaluate information, prepare statistical reports and recommend appropriate action. Understand all policies, procedures, instructions, rules and regulations. Master department specific applications and software. Learn new skills necessary to support the needs and the mission of the Division and agency.

Working Conditions

While performing the duties of this job, the employee may need to communicate clearly, perceive details of objects that are close by, and maintain various physical positions for extended periods, such as sitting, standing, or walking. The job may involve using hands for tasks such as typing, handling objects, or operating tools, as well as reaching with hands and arms. Typically, successful candidates are hired at a salary rate up to the midpoint of the range, based on applicable experience, internal equity, and budgetary allowances. The current contribution rate for ASRS is 12.27% and the current contribution rate for PSPRS is 5.84% and up for the defined contribution plan and 8.82% for the defined benefit plan.
