Job summary

RISE Group Inc. is seeking an Administrative Assistant (Audit Scheduling) to perform clerical and receptionist duties and provide customer support. You will interact with energy-efficiency professionals, customers, suppliers, contractors, and the public in a fast-paced office environment.

Primary duties include scheduling audits, processing requests, pre-screening for eligibility, and maintaining accurate customer files. Strong communication and organizational skills are essential.

Job description

RISE is seeking an Administrative Assistant (Audit Scheduling) to assume clerical and receptionist duties and provide customer support. The Administrative Assistant must be team-oriented and will interact with various internal and external stakeholders, including the companys residential energy-efficiency professionals, customers of Rhode Island Energy and Mass Save, suppliers, contractors, and the general public.

Responsibilities
  • Answer/route phone calls, postal mail, email and fax messages.
  • Schedule home energy audits
  • Process incoming requests, pre-screen customers to confirm program eligibility, create customer files, enter and update jobs in the company database and online calendar.
  • Work with our Program Administrators and their software to verify eligibility and register customer requests.
  • Communicate verbally and/or in writing with residential energy-efficiency specialists and customers regarding scheduling, invoicing or other issues as needed.
  • Efficiently process customer and contractor requests and help resolve outstanding issues.
  • The scope of duties may vary based on your qualifications and our offices immediate needs.
Minimum Qualifications
  • At least two years experience in a customer-facing role in a high-volume office environment.
  • Proficiency with Windows-based computer applications, including Microsoft Word, Excel and Outlook.
  • A commitment to and enthusiasm for energy efficiency.
  • Strong writing, verbal and organizational skills.
  • Attentive to detail and able to learn and understand technical terms.
  • Able to prioritize and process multiple tasks and meet deadlines.
  • Able to tactfully avoid conflict, build trust and work as part of team.
  • A high school diploma or equivalent.
  • Able to pass criminal background and drug screening tests.
Preferred Qualifications
  • Call center or other high-volume customer support/service experience.
  • Experience in the home energy, construction, HVAC, hotel guest service, legal or banking industries.

Travel: No travel is required for this position

Positions Type and Expected hours of Work: This is a full-time 40-hour position. Days and hours of work are Monday through Friday 8:00 AM to 5:00 PM.

Physical Demands
  • This is largely a sedentary role; with a large amount of computer work being required.
  • Answer phone, and use computer, Scanner, printer, etc.

  • Clarity of vision at both over 20 feet and under 20 inches
  • Able to judge depth, have a good field of vision, and identify and distinguish colors
